About the Role: We are looking for a detail-oriented Office Manager to serve as the financial and operational hub of our commercial kitchen service business. This isn't just a data-entry role; you will be the bridge between our field operations and our external CFO. You will ensure every job performed by our technicians is accurately billed and every dollar is accounted for.
Key Responsibilities:
Revenue & Billing: Audit daily job reports in our franchisor software (Symphony) to ensure all services (oil sold, drains sprayed, etc.) are recorded. Convert estimates to invoices in QuickBooks Online and send them to customers daily.
Financial Management: Register payments, reconcile bank statements monthly, and manage recurring accounts payable (rent, utilities, etc.).
Operational Coordination: Work closely with the Operations Manager to flag and correct technician reporting errors.
Reporting & Compliance: Attend monthly strategic meetings with our Fractional CFO. Prepare weekly/quarterly financial reports and monitor sales tax reporting as we expand services.
Administrative Support: Assist with job postings, process payroll, and conduct final audits of new-hire onboarding paperwork.
Vendor Relations: Manage relationships with insurance providers and vendors to ensure we are receiving competitive rates.
Qualifications:
Experience: 2+ years of experience with QuickBooks Online is required.
Skills: Strong understanding of bank reconciliations and basic accounting principles.
Attention to Detail: Ability to cross-reference multiple data sources (technician reports vs. warehouse inventory).
Communication: Comfortable collaborating with field management and external financial advisors.
Education: High School Diploma required; Associate or Bachelor’s in Business/Accounting is a plus.
