We are looking for a strong Operations Manager / HR Specialist who thrives on ownership, organization, accountability, and leadership support. This person will be a direct extension of leadership and will help keep the company operationally sharp. Position Overview The Operations Manager / HR Specialist is responsible for financial handling, HR systems, onboarding, recruiting flow management, administrative infrastructure, and internal organization. This role requires someone proactive, detail-oriented, trustworthy, and systems-driven. Compensation & Benefits • Competitive salary (based on experience) • PTO • Growth opportunities • Leadership proximity • Opportunity to help scale a growing company Responsibilities: Financial & Administrative Operations • Collect checks from Sales Representatives • Verify payment accuracy and documentation • Deposit checks into the company business bank account • Maintain accurate transaction logs • Communicate discrepancies to leadership • Familiarize yourself with and manage all administrative processes • Order office supplies, company swag, and operational materials • Support general office organization and efficiency HR & Team Operations • Track and manage employee PTO (Paid Time Off) • Maintain accurate PTO reporting and documentation • Maintain employee files and compliance documentation • Support onboarding and offboarding processes • Collect and track employee milestones (birthdays, work anniversaries, special achievements) • Help build and maintain strong team culture systems Onboarding & Technology Stack Management • Execute onboarding checklist for all new hires • Execute onboarding checklist for all subcontractors • Set up new hires in the company technology stack (CRM, communication platforms, payroll systems, project management tools, etc.) • Ensure subcontractors submit proper documentation before activation • Collect and track insurance certificates from subcontractors • Maintain updated records of active subcontractor insurance Communication & Inbox Management • Own and manage the general company email inbox • Triage and distribute tasks to appropriate departments • Ensure no important communication is missed • Maintain response time standards Recruiting & Hiring Support • Serve as the first point of contact in our recruiting funnel • Respond to applicants according to our hiring process • Schedule interviews • Ensure candidates move through the hiring pipeline • Maintain an organized applicant tracking system • Uphold hiring standards and company culture alignment Qualifications: • High attention to detail • Strong integrity and confidentiality • Experience in operations, HR, or administrative leadership preferred • Comfortable handling financial transactions • Organized and systems-oriented • Strong written and verbal communication skills • Proficient with spreadsheets and digital tools • Able to manage multiple moving parts without dropping details Who This Role Is For • A natural organizer • A systems thinker • A culture builder • Someone who thrives on ownership • Someone who enjoys structure and accountability • A proactive problem solver Compensation: $55,000 - $68,000 yearly
