Job Summary
We are seeking a dedicated and organized Office Manager to join our growing home care agency. In this role, you will oversee daily office operations, coordinate caregiver scheduling, support client and caregiver needs, and ensure efficient administrative processes. The Office Manager will also assist with community outreach efforts, build relationships within the community, and represent the agency at networking events and local functions.
This position requires a hands-on professional who is willing to provide direct patient care when necessary due to caregiver call-offs or staffing shortages. The ideal candidate is highly organized, compassionate, possesses strong communication skills, and thrives in a fast-paced healthcare environment.
Responsibilities
Manage daily office operations Coordinate caregiver scheduling and staffing Answer phones and provide customer service Maintain client and caregiver records Handle administrative and compliance tasks Assist with recruiting and onboarding caregivers Perform patient care duties when a caregiver is unavailable or calls off Support business development and community outreach efforts Attend networking events and community functions Educate the community about the agency's services Build relationships with referral sources and community partners
Qualifications
High school diploma or GED required; associate's degree or relevant healthcare/administrative experience preferred
Previous experience in office management, healthcare administration, home care, or a related field preferred
Experience coordinating schedules, managing administrative operations, and supporting client services
Strong knowledge of Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new software systems
Excellent organizational and time-management skills with the ability to prioritize multiple responsibilities
Strong problem-solving skills and attention to detail
Excellent verbal and written communication skills
Ability to build and maintain professional relationships with clients, caregivers, referral sources, and community partners
Comfortable attending community events and conducting outreach activities to promote agency services
Willingness and ability to provide direct patient care when necessary due to caregiver shortages or call-offs
Reliable transportation and a valid driver's license preferred
Home care, healthcare, or caregiving experience is a plus
Ability to work independently while maintaining a high level of professionalism and compassion toward clients and families
