Position Summary
The Customer Service & Office Support Representative serves as the primary point of contact for customers while assisting with a variety of administrative and office duties. This role is ideal for someone who enjoys multitasking, problem-solving, and being a key support person in a small business environment. You’ll play a vital role in customer satisfaction, scheduling, communication, and day-to-day office operations.
Key Responsibilities
Customer Service
Answer incoming phone calls, emails, and messages in a professional and friendly manner
Assist customers with service inquiries, scheduling, pricing questions, and general support
Resolve customer concerns or complaints promptly and escalate when necessary
Maintain accurate customer records and notes in company systems
Follow up with customers to ensure satisfaction and service completion
Scheduling & Coordination
Schedule and reschedule lawn care services efficiently
Coordinate with field crews to ensure accurate daily routes and job details
Communicate schedule changes, weather delays, or service updates to customers
Office & Administrative Support
Assist with invoicing, payments, and basic billing inquiries
Enter and update data in CRM, scheduling, or accounting software
Prepare basic reports, job lists, or service summaries as needed
File documents and maintain organized digital and physical records
Support the owner or management with general administrative tasks
Additional Duties
Assist with marketing or customer outreach efforts (reminder calls, emails, reviews, etc.)
Help onboard new customers and explain service options
Perform other office-related tasks as assigned to support business operations
Qualifications & Skills
High school diploma or equivalent (additional education a plus)
Previous customer service or office experience preferred
Strong verbal and written communication skills
Excellent organization and time-management abilities
Comfortable using computers, phones, and office software
Ability to multitask and adapt in a fast-paced, small-business setting
Friendly, dependable, and professional demeanor
Preferred Experience
Experience in home services, landscaping, or lawn care industries
Familiarity with CRM, scheduling, or invoicing software
Basic bookkeeping or administrative experience
