EverLine Coatings & Services is a premier line striping and pavement maintenance company with locations across the U.S. and Canada. EverLine of Southeastern MA & Cape Cod is a locally owned and operated franchise serving commercial clients with high-quality line painting, sealcoating, crack filling, pothole repair, and related services. We are growing quickly and are looking for an organized, proactive Office Manager to help keep our operations running smoothly.
Position Summary
The Office Manager plays a critical role in supporting day-to-day business operations. This role owns administrative processes, supports scheduling and billing, coordinates with field operations, and serves as a key point of contact for customers, vendors, and internal team members. The ideal candidate is highly organized, detail-oriented, comfortable wearing many hats, and enjoys working in a fast-paced small business environment.
Key Responsibilities
Office & Administrative Operations
Manage daily office operations, systems, and workflows
Maintain organized digital and physical filing systems
Answer and route phone calls and emails professionally
Act as the first point of contact for customers and vendors
Scheduling & Coordination
Coordinate job scheduling with the General Manager and field crews
Communicate schedules, changes, and job details to crews and customers
Track job status and ensure required documentation is complete
Billing, Invoicing & Light Accounting Support
Prepare and send customer invoices in a timely manner
Track receivables and follow up on past-due invoices
Assist with payroll preparation and time tracking
Coordinate with external bookkeeping/accounting support as needed
Customer & Vendor Support
Support proposal and contract administration
Manage vendor communications, purchase orders, and invoices
Help ensure a professional, responsive customer experience
Reporting & General Support
Maintain basic reports related to jobs, billing, and operations
Support the owner and management team with ad hoc projects
Help implement and improve office processes as the business scales
Qualifications
3+ years of experience in an office manager, administrative manager, or similar role
Strong organizational and time-management skills
Excellent written and verbal communication skills
Comfortable working independently and taking ownership of tasks
Proficiency with Microsoft Office (Excel, Word, Outlook); experience with QuickBooks or similar systems is a plus
Experience in construction, field services, or a trade-based business is a plus, but not required
