    JOB DESCRIPTION SUMMARY:

    The Office Manager is responsible for the overall management of the Kantar office facilities. The position requires that the individual be very proactive and highly personable. The person will be required to multi-task in an effortless manner, be detailed, and be able to look after many different personalities and levels of employees.

    The office is where our employees spend their long days it is encouraged that this individual will always have an eye toward ensuring that it is maintained to the highest standards of cleanliness, support, and efficiency.

    KEY ACCOUNTABILITIES:

    • Serve as the main point of contact with building management, building vendors, housekeeping, building engineers, maintenance crews, and food/beverage vendors; coordinates problem resolution and ensures the highest level of service is always provided and systems are fully functioning (HVAC, plumbing, rest-rooms, kitchens)

    • Ensures there are appropriate meeting set-up, catering, and technology needs for all internal (employee) and external (client-related) meetings as requested by the employees of the office.

    • Troubleshoot all equipment and copier issues; ensure maintenance is kept up-to-date; provide instructional guides for highly-used copier functions or repeat “problem” issues

    • Facilitates any workstation/office moves

    • Ensures new employee set-up is done in advance of employee arriving (desk, IT set-up, supplies, etc.); works closely with HR to ensure everything is covered

    • Keeps seating chart up to date with any new hires and workstation moves.

    • Makes sure that all conference, meeting, and team rooms are kept clean, have operating technology (phone, data ports, etc.), adequate seating, and are fully functional at all times

    • Advises management of any maintenance and repairs that need to be made on a timely basis such as walls needed to be painted, carpet repairs, light bulbs replaced, etc.

    • Handles purchasing of supplies and maintains a running inventory.

    • Maintains email distribution lists for the office and communicates any changes as needed.

    • Ensures that all pantries and copy rooms are adequately stocked

    • Facilitates the planning and logistics of all office events.

    • Sets up and maintains all vendor house accounts.

    • Lead and schedule meetings for leadership

    • Arrange travel for leadership - this includes flight, hotel, transportation, and other travel. requests as needed

    • Handle travel expenses and submit to the Accounting and Finance department for approval

    • Special projects as needed

    • I-9 (new employee forms and onboarding)

    EXPERIENCE & CAPABILITIES

    • Strong integrity; ability to optimally work well with many different people: senior management, staff, clients, vendors, and affiliated Kantar company employees

    • A high degree of discretion and confidentiality, as appropriate

    • Must have proficiency with Microsoft Office applications including Outlook, Word, and Excel

    • Strong interpersonal skills

    The salary range for this role in Boston is 52,500.00 - 87,600.00. Your final base salary will be determined based on several factors which may include but are not limited to location, work experience, skills, knowledge, education and/or certifications.
