    Are you highly organized, detail-oriented, and energized by supporting a fast-paced office and leadership team? We’re looking for a dependable, polished, and proactive Office Manager / Executive Assistant to join our office team in Scottsdale, AZ. This position plays a key role in supporting the daily operations of a busy real estate brokerage while also providing executive-level administrative support to the Designated Broker and other members of the leadership team. This is an excellent opportunity for someone who enjoys variety, takes initiative, communicates professionally, and takes pride in helping an office and leadership team operate at a high level. Responsibilities: • Support daily operations for a busy real estate brokerage's main office • Provide executive assistant support to the Designated Broker and leadership team, including calendar coordination, scheduling, meeting support, and follow-up on key tasks • Help manage priorities, communications, and administrative needs for leadership • Coordinate office meetings, leadership meetings, and special events, including monthly sales meetings, holiday parties, and award events • Prepare meeting materials, agendas, documents, and other administrative items for leadership as needed • Assist with confidential and time-sensitive administrative projects • Support administrative property management functions, including entering checks and updating related information in property management software, and preparing deposits • Receive and distribute tenant checks appropriately • Provide support with printing, mailing, and processing checks for accounting and property management • Prepare and distribute weekly office communications • Help coordinate building maintenance and office-related service requests • Maintain conference room schedules and reservations • Update office rosters, phone lists, and vendor communications • Coordinate food orders, reminders, and other logistics for meetings and events • Monitor and restock office, kitchen, and supply room inventory • Serve as a reliable point of support for office staff, agents, and leadership • Provide general administrative support and assist with special projects as needed Qualifications: • Previous administrative assistant, executive assistant, office manager, or office coordinator experience • Experience supporting senior leadership, executives, or department heads preferred • Strong organizational skills and exceptional attention to detail • Ability to manage multiple priorities, deadlines, and shifting demands with professionalism • Strong written and verbal communication skills • High level of discretion when handling confidential information • Strong customer service mindset and collaborative attitude • Proficiency in Microsoft Office, Google Workspace, and Canva, with the ability to manage documents, spreadsheets, scheduling, file organization, presentations, mail distribution, basic marketing materials, and professional correspondence in an efficient and organized manner • Proficient in social media platforms, with the ability to support online presence, branding, and communication, including the ability to post to company social media platforms and support professional, brand-consistent online communication • Real estate experience is a plus • Reliable, resourceful, proactive, and able to work independently Compensation: $50,000 - $55,000 yearly
