    Office Manager, Full Charge Bookkeeper

    Position Summary

    Our company is family owned and operated serving Ocean Township and surrounding areas for over 42 years. We pride ourselves in customer service and attention to detail. We are seeking to hire a full-charge bookkeeper/office manager to join our team. Someone who is detail oriented, has strong time management skills, and possess effective communication skills.

    Responsibilities

    Oversee, coordinate, and assist with office operations and administrative tasks

    ADP payroll weekly processing, reports, and calculating of all bonus and commission by the 15st of the following month

    Handle liability and medical insurance renewals as well as audits

    Collect and submit insurance certificates

    Keep all licensing up to date

    Supervise and monitor vendor statements and payments

    Manage daily cash receipts, posting, and reporting

    Manage bank transfers, wire transfers and ACH payments

    Complete bank deposit slips, process checks for deposit and post deposits to the ledger promptly

    Close out each month in a timely manner and reconcile the bank statement

    Understand and assist with allocating all expenses, monthly reconciliations, and actuals

    Prepare and post other journal entries to the general ledger

    Report and pay monthly and quarterly NJ sales and use tax

    Supervise exploitation of departmental software (Protractor and CCC One) and export information as needed

    Perform GL, AR, and AP account analysis and reconciliations

    Provide monthly balance sheet and profit and loss statements as requested by department by the 15th of following month

    Produce and distribute 1099’s W2’s and W9’s

    Respond to unemployment, social security and disability inquiries

    Annually update all tax exempt ST3’s and publish list for staff of approved tax exemptions

    Qualifications

    Proven experience as a Full Charge Bookkeeper 3-5 years

    Proficiency in QuickBooks and Microsoft Excel required

    PTO Tracking

    Strong knowledge of corporate accounting

    Experience reporting and paying NJ Sales Tax

    Additional Duties

    Managing paperwork for employee onboarding and termination

    Maintain employee attendance records- sick days, vacation used and due

    Process and publish approved vacation requests

    Manage medical, dental and 401k – Aflac, prescription drug plans

    Report any incidents/accidents according to incident reporting procedures and protocols within designated timelines according to reporting guidelines
