    Job Summary

    We are seeking an Office Manager to join our team. The office manager oversees administrative tasks, ensures smooth office operations, and supports all staff members. Key duties include ordering and managing office supplies, coordinating schedules and meetings, handling correspondence, answering the phones, and overseeing our HR processes. This role requires strong organizational, communication, and problem-solving skills.

    Responsibilities

    Open and close the office each day.

    Ensure all office areas (lobby, conference room, back-office area, and supply rooms) are tidy and stocked.

    Monitor and ensure all office equipment is in working order (printers, phones, computers, etc.).

    Maintain daily inventory of all office and medical supplies and ensure we always have par levels of all required supplies.

    Manage and prioritize incoming calls, emails, and mail.

    Schedule appointments, meetings, and coordinate calendars.

    Prepare and file daily reports, memos, and necessary documents

    Maintain physical and digital filing systems.

    Act as liaison between office staff, medical staff, and leadership.

    Assist with onboarding tasks for new employees (desk setup, access credentials, office tour).

    Oversees Human Resources processes and ensures all employees files are current.

    Greet patients, visitors, and vendors in a professional and friendly manner.

    Coordinate with vendors regarding deliveries, repairs, or supply issues.

    Maintain confidentiality of all sensitive or protected information.

    Ensure compliance with office policies and medical protocols.

    Other duties as assigned

    Qualifications

    High school diploma/GED required, Bachelor's degree preferred

    Minimum of 3-5 years’ experience as office manager and/or receptionist

    Must be able to work independently

    Excellent organizational and time management skills

    Must possess the ability to multitask, prioritize effectively, and solve problems.

    Excellent communication and interpersonal skills to collaborate with the CEO, staff, and external stakeholders.

    Proficient with office software, such as Microsoft Office, EMR’s and phone systems
