    Position Overview:

    The Office Manager/HR Generalist will play a crucial role in ensuring the smooth operation of our organization by overseeing human resources, administrative tasks, managing office procedures, and supporting various departments. The ideal candidate will have exceptional organizational and communication skills, a strong attention to detail, and a passion for supporting our mission to provide essential services to children and families in need.

    Responsibilities:

    Administrative Leadership:

    · Maintain Whitington policies and procedures on Policies and Procedures site on SharePoint to ensure productivity, compliance, and accreditations. Participate in development of HR objectives and systems, including metrics, queries, and ongoing reports for CARF accreditation.

    · Manage office supplies, equipment, facilities, vans, and car seats to support a conducive work environment and ensure efficient workflow.

    · Maintain tracking system for all agency wide trainings to ensure compliance with all levels of required trainings. Notify supervisor of staff member if a training is not completed timely.

    · Conduct health and safety audits, emergency drills,

    Human Resource Responsibilities

    · Prepare paperwork and schedules for smooth new-hire onboarding process, coordinating with cross-functional departments to deliver an exceptional first-day experience

    · Provide all agency trainings during onboarding.

    · Handle all administrative tasks for onboarding, new-hire orientations, and exit interviews, including data entry in human resources information systems (HRIS) and audits for accuracy and compliance

    · Provide a dedicated and effective HR advisory service to employees that covers absence and health issues, conduct and capability, grievances, organizational change, and all other employee-relations matters

    · Be the primary backup for payroll processing, including biweekly and semimonthly updates to employee files, vacation/sick pay, expense reimbursements, hourly-employee validations, and benefits changes

    · Assist in the communication, interpretation, and upkeep of employee handbook, employee directory, and organizational chart, and contribute to policy development

    · Ensure compliance with local and national regulations and applicable employment laws, and update policies and procedures when necessary

    Communication and Correspondence:

    · Serve as a point of contact for internal and external stakeholders, maintaining a professional and welcoming demeanor.

    · Manage phone calls, emails, and other forms of communication, redirecting inquiries as needed.

    · Prepare and distribute memos, announcements, quarterly newsletter, staff, and stakeholder surveys. communications internally and through social media. (Mail Chimp/Survey Monkey)

    · Maintains website, Facebook, Instagram, Linked In, etc.

    Required skills and qualifications

    · Bachelor’s degree (or equivalent work experience) in human resources, business, or related field

    · Proven experience in office management or administrative roles, preferably within a nonprofit or child services organization.

    · Excellent communication and interpersonal skills, ethics, and cultural awareness

    · Aptitude for problem-solving and thorough knowledge of HR procedures and policies

    · Ability to learn new technical systems, when necessary

    · Strong organizational skills, resourceful mindset and strong attention to detail

    · Proficiency in office software and tools.

    · Knowledge of national laws and regulations related to employment

    · Experience with CARF accreditation preferred
