The Office Manager ensures that every aspect of our daily operations runs like clockwork. You’ll oversee scheduling, dispatch, client communication, claims, and administrative flow, keeping leadership informed and the team accountable. This role bridges the gap between the field and the office, translating real-time activity into organized systems and actionable data. Core Responsibilities • Lead with Accountability: Hold crews to company standards, address performance issues promptly, and make confident personnel decisions when necessary. • Client Care & Communication: Be the point person for client updates, follow-ups, and issue resolution. Send proactive move-day updates and conduct post-job check-ins to ensure satisfaction. • Tasking, Flags & Job Reports: Monitor and close daily tasks in SmartMoving, Connecteam, and JobReports.io. Maintain clear documentation and ensure nothing slips through the cracks. • Claims & Coordination: Receive, log, and track claims through closure while keeping clients informed and leadership looped in. • Lineup & Launch Management: Run daily crew lineups, manage attendance, and ensure all notes, safety briefings, and truck assignments are completed with precision. • Hiring, Training & Scheduling Support: Coordinate pre-hire assessments, onboarding, and training logistics. Help maintain coverage models and bullpen scheduling. • Systems & Process Improvement: Keep checklists, SOPs, and workflows live and enforced. Recommend and document system improvements. • Culture Steward: Model professionalism, respect, and consistency even when enforcing tough decisions. Qualifications: Required: • 2+ years in operations, logistics, dispatch, or office management within a service or trades industry. • Proven ability to lead with authority and hold teams accountable, including having tough conversations when needed. • Resilient and steady under pressure; unafraid to make firm decisions in the moment. • Strong organizational and time management skills; nothing escapes your radar. • Excellent communication skills, both written and verbal. Preferred: • Background in moving, logistics, trades, or restoration environments. • Understanding of performance management, claims, and KPI tracking. • A balance of firmness and empathy when leading people and handling customer issues.
