About the Role:

M&S Machine & Tool Co., Inc. is looking for a motivated and organized Office Manager to join our team in West Haven, CT. This is a key role that keeps our operations running smoothly, supporting both our team and our customers with professionalism and efficiency. Responsibilities:

Oversee day-to-day office operations, ensuring a productive and organized work environment

Manage scheduling, correspondence, and communication between departments, vendors, and customers

Handle accounts payable/receivable, invoicing, and basic bookkeeping tasks

Maintain and organize company records, files, and documentation

Support HR functions including onboarding, employee records, and payroll coordination

Order and manage office and facility supplies and inventory

Serve as the primary point of contact for incoming calls, emails, and visitors

Requirements:

2+ years of office management or administrative experience, preferably in a manufacturing or industrial setting

Experience using and ERP system, JobBoss experience preferred and right candidate can easily learn system.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and accounting software such as QuickBooks

Strong organizational and multitasking skills with keen attention to detail

Excellent written and verbal communication skills

Ability to work independently and take initiative in a small business environment

Experience with basic bookkeeping, invoicing, or payroll processing is a plus

Dependable, professional, and a team-oriented attitude
