Purpose of Office Administrator:
● Serve as the administrative hub of the congregation, facilitating day-to-day operations in support of the pastoral staff while being a welcoming and consistent first point of contact in the office.
Major Duties and Responsibilities:
● Answer phones and handle office inquiries during set office hours (9-3, M-F)
● Manage meeting room reservations for both members & external groups
Own & maintain all OSLC google calendars
Coordinate setup needs to Facilities Manager
First point of contact with all outside groups seeking space rentals
● Utilize the Realm church management platform to coordinate volunteer opportunities and manage congregational participation
Maintain membership status of congregation members alongside Adult Ministries Coordinator
Recruit office volunteers and coordinate the calendar of office volunteers
Assist pastors with member care to include prospective member support and creation of various lists and groups of members
Provide logistical support for all committees and leaders of congregation
● Produce the OSLC Annual Report alongside Communications Director, focusing on the recruiting of the reports
● Manage documentation, paperwork, procedures, and supplies necessary to ensure the office runs smoothly:
Maintain and regularly update Facilities Usage Guidelines
Oversee compliance with necessary trainings (eg: Sexual Harassment Training)
Prepare new employee paperwork and onboard new employees; eg: employee handbook
Manage the inventory of all office supplies including paper, pens/pencils, and other materials
Purchase equipment and supplies in accordance with financial protocols.
Manage bulletin boards, flyers and other advertising in the church building
● Coordinate mailings (Stewardship, Christmas, etc.) as directed by the Lead Pastor
● Maintain a positive and productive environment for staff and office volunteers
Encourage a welcoming environment for members, prospective members, and community partners
Qualifications:
● Three to five years of experience in an administrative position, non-profit experience preferred
● Associates or Bachelor’s degree in a business or related field preferred
● HR knowledge/experience preferred
● Relationship-oriented: Must work well as part of the OSLC staff and volunteer teams.
● Self directed/managed: able to set priorities and effectively manage to insure all responsibilities are executed accurately, on time or ahead of schedule
● Able to multitask under pressure and switch priorities as needed
Proficiency or Familiarity with:
● Microsoft
● Google products
Working Relationships:
● Reports to Lead Pastor
● Staff liaison to IT committee
Compensation & Benefits:
$27.50-$30 per hour depending on experience
