About the Role
Transformational Living Homes is seeking a highly organized, process-driven Office and Operations Manager to serve as the backbone of our administrative and field operations. This isn't just a desk job; you are the "air traffic controller" for our organization. You will bridge the gap between our executive leadership, our maintenance crews, office staff and our residential house managers to ensure operational flow, documentation accuracy, and compliance integrity.

What You’ll Do
Workflow Coordination: Serve as the primary intake point for executive directives. Assign, track, and verify completion of tasks while maintaining organized digital records in Google Drive and Dropbox.
Facilities & Maintenance Oversight: Review incoming work orders, prioritize weekly maintenance schedules, coordinate emergency repairs, and ensure homes meet safety and habitability standards.
Compliance & Data Auditing: Conduct routine audits of client files, UA drug testing logs, behavioral contracts, and required documentation to ensure adherence to TLH Standard Operating Procedures (SOPs). Identify gaps and implement corrective action.
Decision Documentation & Reporting: Clearly document incidents, operational decisions, and follow-up actions. Ensure reports reflect objective observations, sound reasoning, timelines, and outcomes that can withstand review by leadership, auditors, parole/probation, or external agencies.
Financial Administration: Oversee client payment processing (money orders), track supply inventories for homes and office operations, and coordinate distribution of food program resources.
Team Leadership: Supervise office clerks and provide onboarding and administrative guidance to House Managers. Reinforce operational standards and accountability
Crisis Triage: Support the leadership team in managing client behavioral issues, ensuring all documentation is objective, professional, and filed according to protocol. This role does not provide clinical services but ensures all documentation and reporting meet professional and procedural standards.
Required Skills & Experience
Experience: Minimum 2 years in an Office Manager, Operations Manager, or Compliance-related role. Experience in residential housing, recovery programs, or social services strongly preferred.
Technical Proficiency: Advanced skills in Google Workspace (Drive, Sheets, Docs), Microsoft Suite and Dropbox. Experience with property management software (e.g., Maintenance Care) or project tools (Monday.com) is highly preferred.
Written Articulation & Analytical Thinking: Ability to clearly document observations, explain decision-making logic, and produce reports that demonstrate sound judgment and professional reasoning

Communication: Ability to communicate firmly, clearly, and professionally with diverse stakeholders, including residents, parole/probation agents, contractors, and executive leadership.
Problem-Solving: Ability to triage issues independently, implement structured solutions, and recognize when escalation to the Executive Director is required.
