    Who we are:

    Oxford Seniors is a vibrant and thriving senior center with a mission of Serving Seniors and Strengthening Community! We work with people aged 50 and older—as well as their families and caregivers—to help make aging joyful, creative, and full of new friends and opportunities.

    Who we are looking for:

    The Office Manager provides daily operational support to the organization ensuring the programs, goals, objectives, policies and procedures are implemented. Provides for daily office needs and manages general administrative activities. Ensures the smooth and efficient day-to-day operations of the center.

    Essential Duties

    Provides assistance to all staff to ensure effective daily operations of the organization. Maintains organized and up-to-date files and records. Prepares monthly reports. Accepts and records monies for memberships, trips, special events and for purchases such as crafts. Maintains a database of monetary donations and memorial donations. Produces sign-up sheets for activities. Attends all Board of Trustee meetings in an ex-officio capacity. Member of Communications Committee.

    Types, edits, uploads and distributes the monthly newsletter. Updates the website.

    Trains, supervises, monitors, and evaluates direct staff and volunteers as appropriate; provides additional support when necessary. Locates replacements for absent dispatchers or works with the Volunteer Coordinator to determine replacements. Schedules transportation requests. Responds to questions from the public regarding agency services. Retrieves and responds to telephone messages left in the general mailbox.

    Opens the facility Monday through Friday. Coordinate scheduling of the facility for use during those hours.

    Provides support for Congregate Meals tasks such as monitoring food temperatures, assisting with serving meals, and scanning in participants. Ensures Congregate Meals reservation sheet is complete and all participants are entered into Center database.

    Manages the office. Contacts the appropriate companies regarding the repair or maintenance of office equipment. Orders and maintains office supplies.

    Answers calls from MOW volunteers and clients on an as needed basis on the coordinators’ off days. Provides for vacation coverage for the coordinator. Performs other miscellaneous related functions.

    Fills in as a driver on an as-needed basis. Assists in recruiting volunteer drivers for out-of-town appointments and trips.

    Other duties as assigned.

    Skill Requirements

    Ability to become familiar with and implement company programs, goals, objectives, policies and procedures.

    Ability to tactfully interact with personnel, clients, family members, visitors, government agencies/personnel and the general public.

    Excellent oral and written communication skills.

    Ability to plan, organize, develop, implement and interpret the programs, goals, policies, procedures and so forth of the Oxford Seniors programs.

    Skilled at demonstrating initiative in enhancing or modifying existing procedures to promote maximum efficiency.

    Ability to work through frequent interruptions.

    Excellent team player

    Minimum Qualifications A baccalaureate degree is preferred. At least one year of experience as an employee or volunteer in non-profit management and social service delivery is preferred; or an equivalent combination of education, training and/or experience necessary to perform the essential functions of the work. Interest in, and aptitude for, working with older adults.
