The Office Manager will play a crucial role in supporting this mission and helping us grow Shine of Tysons into the go-to service provider in our area.

    What You’ll Do:

    As the Office Manager at Shine of Tysons, you’ll wear many hats, from overseeing administrative tasks to driving hiring processes and ensuring financial accuracy. You’ll be at the heart of our operations, supporting every department and ensuring that our team is set up for success. Here’s what you’ll be responsible for:

    Own the Hiring Process:

    Post job openings, vet applications, and set up interviews.

    Conduct interviews for crew leads, technicians, and other key positions.

    Manage the entire recruitment pipeline from initial job posting to onboarding, ensuring we attract top talent.

    Financial Reporting & Management:

    Work with our bookkeeper to ensure accurate financial reporting and compliance.

    Manage the company’s finances by overseeing payroll, accounts payable/receivable, and monthly financial reports.

    Ensure financial processes are followed according to Shine’s systems and best practices.

    Track and report Key Performance Indicators (KPIs) that monitor key business areas, ensuring data-driven decisions are made.

    Administrative Leadership:

    Handle routine administrative tasks such as customer inquiries, office supplies management, and scheduling.

    Ensure smooth office operations, from managing office calendars to coordinating meetings and communications.

    Maintain compliance with local labor laws, health and safety regulations, and company policies.

    Vendor & Supplier Relations:

    Manage relationships with vendors, ensuring timely ordering of supplies and services to maintain operations.

    Support the General Manager:

    Assist the General Manager with special projects, team coordination, and overall business operations.

    Customer Experience & Scheduling:

    Oversee customer service processes, ensuring that customer inquiries and issues are addressed promptly.

    Answer client calls and help book appointments, fostering positive client relationships through excellent customer service.

    Manage service schedules, ensuring technicians and crews are organized, efficient, and meet customer demands.

    In your first year, you’ll be expected to:

    Build and maintain a smooth, efficient hiring process that attracts top-tier candidates and reduces turnover.

    Maintain accurate financial records, ensuring financial transparency and operational efficiency.

    Track and report key business metrics (KPIs), ensuring that all departments are meeting their goals.

    Foster a well-organized, high-functioning office environment where team members are supported and customers receive the best possible service.

    Ensure compliance with local labor laws and health/safety regulations.

    What We’re Looking For:

    We’re seeking a dynamic individual who can keep our office running like clockwork. You’ll be the glue that holds our team together, ensuring everything from hiring to financial reporting is seamless. Here’s what we need from you:

    Proven Office Management Experience: At least 3-5 years of office management or administrative experience, preferably in a service-based industry.

    Strong Financial Acumen: Experience working with bookkeeping, financial reporting, payroll, and QuickBooks.

    Excellent Organizational Skills: A proven ability to manage multiple tasks, prioritize effectively, and streamline office operations.

    Hiring & HR Experience: Familiarity with the hiring process, including interviewing, onboarding, and employee relations.

    Tech-Savvy: Comfortable with office software (Microsoft Office, Google Workspace) and ready to learn industry-specific systems.

    Customer-Focused: Passionate about delivering exceptional service and supporting both our internal team and external customers.

    Leadership Mindset: Able to take ownership of projects, manage a team, and proactively improve processes.

    KPI Tracking: Ability to track and report on Key Performance Indicators (KPIs) to monitor business health and progress.

    Key Responsibilities:

    Hiring and onboarding processes for crew leads and technicians.

    Financial oversight including bookkeeping, payroll, and vendor management.

    Managing administrative tasks like scheduling, customer service, and office communications.

    Tracking and reporting KPIs to drive business decisions.

    Ensuring compliance with labor laws and health/safety regulations.

    Providing support to the General Manager and assisting with company operations.

    Ensuring Shine of Tysons runs efficiently, both in the office and in the field.
