Position Overview We are seeking a highly organized and dependable Office Manager to join our Substance Use Disorder (SUD) Partial Hospitalization Program (PHP) in Henrico, VA. This full-time role is essential to the daily operations of the facility and provides critical administrative support to the Executive Director and Clinical Director. The ideal candidate will have experience in SUD treatment settings and a passion for helping programs run efficiently and compliantly.
Key Responsibilities ● Oversee daily administrative operations of the PHP facility ● Greet and assist clients, visitors, and staff in a professional and supportive manner ● Maintain program schedules, calendars, and documentation systems ● Manage phone lines, emails, and office correspondence ● Organize and maintain client records in compliance with HIPAA and DBHDS regulations ● Assist with onboarding, scheduling, and HR support for clinical and support staff ● Coordinate billing support documents, authorizations, and insurance verifications in collaboration with billing staff ● Track and order office supplies and equipment ● Maintain clean, organized, and professional front office and common areas ● Support with audits, licensing reviews, and compliance tracking as needed ● Liaise with external vendors and service providers as needed ● Support leadership team with projects, reports, and operational planning ● Contributing to business development efforts by coordinating facility tours, setting up lunch and learns, finding local events, etc.
Qualifications ● Required: ○ Minimum of 2 years of experience in a SUD treatment or behavioral health setting ○ Strong administrative, organizational, and multitasking skills ○ Proficiency with Microsoft Office and electronic health records (EHR) ○ Excellent communication and interpersonal skills ○ Knowledge of HIPAA and confidentiality standards ○ High school diploma or equivalent
● Preferred: ○ Associate’s or Bachelor’s degree in Healthcare Administration, Human Services, or related field ○ Familiarity with DBHDS and Medicaid regulations in Virginia ○ Experience supporting clinical operations in a licensed behavioral health facility
