    Sims Social Services LLC is a community-based mental health agency dedicated to providing compassionate, client-centered care. We are seeking an experienced, organized, and proactive Office Manager to support our team and ensure the efficient operation of administrative and HR functions.

    Position Overview

    The Office Manager is a vital part of our team, responsible for handling administrative coordination, HR tasks, and internal operations. This role supports both clinical and administrative staff while ensuring compliance with Medicaid, HIPAA, and agency protocols.

    Key Responsibilities

    Administrative Duties:

    Answer phones and manage daily communications

    Schedule appointments, verify eligibility, and coordinate intake packets

    Submit and track prior authorizations

    Monitor client engagement and support follow-up

    Scan, file, and upload client documents to the EHR

    Maintain task board, fax logs, and internal calendar

    Audit client/staff charts and monitor compliance

    Mail discharge letters and track monthly productivity

    Human Resources Duties:

    Run and verify staff reports and bi-weekly payroll

    Track credentials and process late submissions

    Conduct new hire orientation and performance evaluations

    Maintain personnel files and Zoho People records

    Post job openings and coordinate interviews

    Organize annual training in Zoho Learn

    Update the employee handbook annually

    Requirements

    High school diploma or GED required; Associate’s or Bachelor’s degree preferred

    Minimum of 2 years in administrative or office management, ideally in behavioral health

    Familiarity with systems such as Jotform, Zoho People, and EHR is a plus

    Exceptional organizational, communication, and multitasking skills

    Ability to maintain confidentiality and manage sensitive information
