    About the Role

    We are a growing student transportation company seeking an experienced, highly dependable Office Manager to oversee daily administrative and operational functions. This role serves as the central hub for communication, coordination, and compliance, ensuring that daily transportation operations run smoothly and professionally.

    Key Responsibilities

    Office & Operations Management

    Serve as the primary point of contact for office operations, ensuring smooth daily workflows

    Manage incoming and outgoing communications with drivers, parents/guardians, school administrators, and internal leadership

    Oversee daily transportation operations, including route coverage, substitutions, and schedule adjustments

    Prepare daily transition notes and next-day operational plans

    Communication & Customer Service

    Communicate clearly, calmly, and professionally with parents, drivers, and school partners

    Respond to inquiries, concerns, and service issues in a timely manner

    Maintain a consistently courteous and service-oriented demeanor, even in high-pressure situations

    Compliance & Record Keeping

    Maintain accurate and up-to-date compliance documentation, including:

    DOT and regulatory records

    Driver qualification files

    Vehicle documentation and inspection records

    Support audits, reporting requirements, and regulatory reviews as needed

    Administrative & Financial Support

    Perform light bookkeeping duties, including invoice tracking, billing support, and basic financial reporting

    Assist with cost analysis and operational expense tracking

    Support the preparation and submission of Requests for Proposals (RFPs)

    Maintain organized digital and physical filing systems

    Planning & Organization

    Prioritize tasks effectively in an environment with frequent interruptions

    Anticipate operational challenges and proactively propose solutions

    Support management with reporting, data tracking, and operational insights

    Required Qualifications

    Proven reliability, punctuality, and strong work ethic

    3 – 5 years of experience in office management, operations, transportation, or logistics preferred

    Significant customer service experience required

    Strong organizational skills with exceptional attention to detail

    Ability to remain calm, focused, and solution-oriented under time-sensitive conditions

    Excellent verbal and written communication skills

    Proficiency in Microsoft Office, particularly Excel

    Familiarity with Google Workspace preferred

    Spanish-speaking ability is a plus
