About the Role
We are seeking a highly organized and dependable Office Operations Assistant to support our Office Operations Lead and broader operations team. This role plays a key part in keeping day-to-day operations running smoothly by supporting scheduling, material coordination, and job setup.
You will work directly alongside the Office Operations Lead to ensure jobs are scheduled accurately, materials are ready, and communication flows clearly between the office, field teams, and customers.
Success in this role requires strong attention to detail, excellent communication skills, and the ability to stay organized while managing multiple moving pieces. The ideal candidate is proactive, team-oriented, and takes pride in delivering a great customer experience.
What You’ll Do
- Call customers to schedule jobs and confirm timelines
- Communicate clearly and professionally with customers throughout the process
- Support scheduling of residential and commercial jobs
- Assist with coordinating crews, timelines, and job logistics
- Help order and track materials to ensure jobs are ready
- Process permits, warranties, and job documentation
- Maintain accurate job records and internal systems
- Communicate updates between office and field teams
- Support repair coordination and material staging
- Assist the Office Ops Lead with daily priorities and workflows
What You Bring
- Strong customer service and communication skills
- Strong organizational and time management skills
- Ability to multitask and manage multiple job workflows
- High attention to detail and follow-through
- Ability to learn and follow systems and processes
- Experience in operations, construction, or roofing preferred
