Role: Candidate would be a vital link to ensuring that Academics West’s community has a well-functioning facility. Individual would liaison with outside vendors, manage email set-up, purchasing and be able to field general back-office questions. Individual primary responsibilities would be to work with the Directors of the school to ensure the facility is being managed well.
Individual would also liaison with bookkeeping & accounting department regarding budgets by department. Individual needs to be on site to perform role effectively. This a great role for someone with skills in basic repairs, purchasing and office maintenance.
Expectations:
Inventory management; organize stock and anticipate needs
Manage and support all vendors (maintenance personnel) who work in the facility to fix items
Review facility to ensure that all items are working properly
Check restrooms are well stocked
Print ID’s and support HR with onboarding needs, if needed.
Review and check post office mail daily.
Ensure cleaning staff come only on appropriate school days based on calendar.
General support (email issues, printing issues)
Scan all accounts payables invoices to bookkeeper.
Work with outsourced IT to ensure that Wi-Fi, etc. are working
Ensure phone system is running efficiently.
Manage annual budget for monthly supplies for facility.
Support HR department as it relates to filing and administrative needs, as needed
Keep confidential any HR related issues
Check in with Directors on a monthly basis about budgets, printing and repairs.
Execute day to day repairs and updates to facility
Assist with front of house day to day operations
Requirements:
Effective communication & writing skills
Good motivational skills
Exceptional organizational skills
Bachelor’s Degree preferred
Understanding of basic bookkeeping functions
Confidentiality is a priority as it relates to finances, student records
Working knowledge of Office 365 and applications
Value the importance of following work procedures, meeting deadlines
Interest in helping students with learning and emotional challenges
Basis knowledge of maintenance and power tools, preferred
Strong ability to troubleshoot a wide variety of day to day maintenance topics
Ability to lift up to 30 lbs. and sit at a desk working on a computer
Prior private school experience preferred.
