    Position Summary

    The Office Support position serves as a vital member of our administrative team, working directly under the Business Manager to help keep daily business operations organized, efficient, and moving forward.

    This role provides administrative support across multiple areas of the business, including accounting, payroll, human resources, project administration, contracts, compliance, insurance, customer service, vendor coordination, and general office operations.

    The ideal candidate is organized, dependable, detail-oriented, and enjoys working in a fast-paced environment where every day is different.

    What You'll Do

    Administrative Support

    Answer and direct incoming phone calls professionally.

    Respond to emails and general office inquiries.

    Prepare letters, reports, spreadsheets, forms, and correspondence.

    Maintain organized electronic and paper filing systems.

    Schedule meetings and coordinate calendars.

    Order office supplies and maintain inventory.

    Assist with general office organization and daily administrative tasks.

    Accounting Support

    Assist with accounts payable and accounts receivable documentation.

    Organize invoices, receipts, and financial records.

    Assist with QuickBooks Online administrative functions.

    Process vendor paperwork and customer information.

    Support credit applications and vendor account maintenance.

    Human Resources & Payroll

    Prepare new hire onboarding packets.

    Maintain confidential employee files.

    Assist with payroll preparation through ADP.

    Process employee forms and benefit documentation.

    Track PTO and employee status changes.

    Contracts & Compliance

    Assist with contract preparation and organization.

    Maintain insurance certificates.

    Track permits, licensing, and compliance deadlines.

    Organize DOT, OSHA, and regulatory documentation.

    Maintain subcontractor compliance records.

    Operations Support

    Assist with project documentation.

    Coordinate with vendors and subcontractors.

    Support fleet and equipment recordkeeping.

    Maintain fuel and project records.

    Provide administrative support to management.

    What We're Looking For

    Required Qualifications

    High school diploma or equivalent.

    Excellent organizational and time management skills.

    Strong written and verbal communication skills.

    Exceptional attention to detail.

    Strong computer proficiency.

    Microsoft Word, Excel, Outlook, and Adobe Acrobat experience.

    Ability to prioritize multiple responsibilities.

    Professional customer service skills.

    Ability to maintain confidentiality.

    Valid driver's license and reliable transportation.

    Preferred Qualifications

    Associate's degree or equivalent experience.

    Two or more years of administrative experience.

    QuickBooks Online experience.

    ADP payroll experience.

    Construction, forestry, heavy equipment, or contractor administration experience.

    Experience with contracts, compliance, insurance certificates, or permitting.

    Bilingual (English/Spanish) is a plus.

    Physical Requirements

    This position requires the ability to:

    Sit for extended periods while working at a computer.

    Occasionally lift and carry up to 25 pounds.

    Operate standard office equipment.

    Occasionally travel to job sites, vendors, or meetings.
