As an Onboarding Specialist, you’ll play a vital role in creating a seamless, positive hiring experience for new team members. You’ll coordinate every step of the onboarding process; from background checks to welcome letters—while ensuring compliance with state and federal regulations. Your work will help new hires feel supported and set them up for success from day one.
WHAT YOU WILL DO:
Manage the onboarding process by sending hiring documents, background check packets, and welcome letters, while maintaining consistent communication to ensure timely completion of paperwork and orientation attendance.
Conduct and track all background checks, reference checks, and driving record verifications.
Prepare weekly orientation rosters, maintain personnel and licensing files, and ensure applicant tracking systems are accurate and up to date.
Stay current on state and federal employment laws and licensing regulations to ensure full compliance.
Work closely with HR, recruiters, and operations teams to ensure a smooth, compliant onboarding experience, while participating in special projects that enhance hiring processes.

Qualifications
_ MUST HAVE:_
High school diploma or GED and at least 2+ years of HR experience related to recruiting, interviewing, or hiring.
Must be skilled in handling sensitive employee information with strict confidentiality and possess a strong working knowledge of federal and state employment laws and regulations.
HR & Onboarding Systems: Experience using HR and onboarding software, including Applicant Tracking Systems (ATS) such as SmartRecruiters, Workday, and UltiPro.
Technical Proficiency : Strong command of Microsoft Office applications (Excel, Google Sheets) for reporting, analysis, and workflow management.
NICE TO HAVE:
Experience in onboarding within human services or healthcare settings, with familiarity in compliance requirements for regulated industries and working with hourly employees.
Timekeeping & Attendance: Skilled in timekeeping tools, including Kronos, to manage employee hours and compliance.
Payroll & HRIS Expertise: Proficient with payroll and HRIS systems including Workday, UltiPro/Ultimate Software, and People Assist.
Bachelor’s degree in Human Resources, Business Administration, or a related field.
Professional certifications such as PHR, SHRM-CP, or CHRS (Certified Human Resources Specialist).

Professionalism, Integrity & Collaboration: Maintain confidentiality and handle sensitive employee information responsibly while demonstrating a positive, professional attitude, and build strong working relationships across HR, recruiting, operations, and other departments to ensure a seamless onboarding experience.
