We are seeking a highly organized and motivated Operations Admin to serve as the assistant to the President of OM and to oversee the operational execution of our retreats. This role combines executive support with hands-on event operations, requiring a balance of strategic thinking, logistical coordination, and compassionate presence.
The Operations Admin will:
Provide direct executive support, including scheduling, communications, and administrative tasks.
Manage and oversee all operations for retreats, ensuring smooth logistics and excellent attendee experiences.
Be on-site at all retreats, coordinating staff, vendors, and participants.
Conduct retrospectives after each retreat to identify improvements and lessons learned.
Create detailed reports and provide updates to senior leadership following each retreat.
Support organizational operations outside of retreats, including administrative and project-based tasks.
Serve as a right hand, ensuring daily priorities and long-term initiatives are executed smoothly.
Plan, coordinate, and execute all operational aspects of retreats, including travel, lodging, meals, and scheduling.
Act as primary on-site operations lead during retreats, supporting both staff and attendees.
Maintain strong communication with retreat participants, ensuring their needs are met with care and professionalism.
Develop and deliver retrospective reports to leadership, highlighting successes and areas for growth.
Work cross-functionally with staff and partners to ensure alignment across all operational areas.
Maintain organizational systems, documentation, and processes to ensure efficiency and clarity.
3+ years of experience in operations, administration, or event planning.
Strong organizational and project management skills, with attention to detail.
Excellent written and verbal communication skills.
Ability to thrive in a fast-paced, dynamic environment.
Compassionate, professional, and adaptable demeanor.
Experience working in nonprofit, wellness, or event settings is a plus.
Ability to travel for retreats as needed.
