Our Operations team is the backbone of the firm—building systems, improving workflows, and ensuring each department operates at peak efficiency. We are looking for an Operations Analyst who thrives in a dynamic environment and enjoys solving operational challenges with creativity and precision. Role Overview The Operations Analyst plays a critical role in supporting the daily operations and long-term strategic initiatives of the firm. This role is responsible for optimizing internal systems, improving workflow efficiency, supporting team members with technical needs, and ensuring our processes scale as the firm grows. The ideal candidate is analytical, proactive, tech-savvy, and capable of turning operational challenges into streamlined solutions. Responsibilities: Primary Responsibilities Operational Optimization & Project Support • Lead and participate in firm-wide operational projects aimed at improving efficiency, productivity, and cross-departmental collaboration. • Identify operational gaps, bottlenecks, and inefficiencies; propose and implement practical solutions. Systems, Technology & Workflow Automation • Build, enhance, and maintain automated workflows within HubSpot CRM , including pipelines, sequences, automations, and integrations. • Support phone system workflows and configurations within AirCall and DialPad. • Assist with matter management optimization using Clio Manage , including HubSpot to Clio integration, reporting, workflow improvements, and template creation. • Maintain accuracy and functionality of the Operations project board in Monday.com , ensuring tasks, timelines, and owners are up to date within the Operations team. • Provide guidance as requested for troubleshooting and support across all software platforms used by the firm, including ChatGPT, Otter, Zoom, and the Microsoft Suite. Cross-Functional Support & Communication • Serve as a point of contact for cross-departmental operational requests, issues, and needs. • Maintain strong communication with department leads to understand ongoing challenges and coordinate solutions. • Partner with team members to ensure smooth adoption of new processes, tools, and system updates. Training & Documentation • Provide ongoing training to staff on systems, workflows, updated processes, and best practices. • Create and maintain clear, professional SOPs , including written documentation and video tutorials. • Ensure all training and SOP materials are kept up-to-date as systems evolve. Administrative & Operational Support • Assist with administrative tasks such as ordering supplies, equipment, and more. • Support the Operations department with research, reporting, and project support across various initiatives. • Contribute to maintaining internal records, tracking operational KPIs, and supporting other Operations team members on assigned tasks.
