    Job Summary

We are seeking a detail-oriented and proactive Operations Assistant to join our custom metal fabrication team. In this role, you aren’t just handling paperwork—you are a vital link in our production process. You will ensure that every unique, made-to-order project has the exact hardware, materials, and documentation it needs to move from the front office to the shop floor without delay. The ideal candidate thrives in a technical environment, possesses a "measure twice, cut once" mindset for data, and enjoys the variety that comes with custom metalwork.

    Responsibilities

Project Coordination: Act as the primary liaison between sales, clients, and the fabrication shop; ensuring project folders and "job packets" are complete and accurate.

Technical Inventory Management: Manage detailed parts and hardware lists and bundle for specific custom orders.

Procurement & Logistics: Track incoming shipments of specialized parts; verify that received items match project specifications (finish, grade, and quantity) before they hit the production line.

Professional Communication: Manage incoming calls and emails with a friendly, professional demeanor, routing communication appropriately and providing status updates to clients on their custom builds as needed.

Safety & Compliance: Take the lead on safety culture by organizing monthly safety topics, maintaining safety logs, and facilitating team safety huddles.

Sales Support: Assist the sales team with administrative tasks, job entry, and ensuring custom quotes transition smoothly into active production jobs.

    Qualifications

Education: High school diploma or GED required; some college or vocational training is a plus.

Experience: 2+ years in an operations, administrative, or "parts-counter" role—ideally within the construction, automotive, or manufacturing industries.

Technical Literacy: Ability to read and interpret basic shop drawings or project spec sheets; proficiency in Microsoft 365 is a must.

Problem-Solving: A proactive mindset—someone who identifies a "kink in the gears" and suggests a solution.

Precision: High level of accuracy when handling technical data including part numbers and material dimensions (e.g., distinguishing between 1/2" and 5/8" hardware).

Adaptability: Comfortable working in a dynamic environment where every project is different and priorities can shift based on production timelines.

Communication: Strong verbal and written skills; comfortable leading a short safety meeting for the shop crew.

Physical Ability: Comfortable being on your feet for parts of the day to organize inventory and handle light lifting of office/shop supplies.

    Work Environment

Dynamic & Collaborative: You will be working in a fast-paced environment where the office and production teams overlap. You aren't just sitting behind a desk; you are the bridge between the sales team and the inventory they need.

Active & Organized: This role involves a mix of traditional administrative work and active inventory management. One hour you might be drafting a formal letter, and the next you might be organizing a shipment of specialized hardware.

Safety-First Culture: We take safety seriously. You will play a visible role in maintaining our safety standards by helping organize topics and facilitating team meetings.

Professional yet Approachable: We value a "can-do" attitude and a team-first mentality. We work hard to hit our deadlines but maintain a friendly, supportive atmosphere.

    Work Environment

Dynamic & Collaborative: You will be working as "the hub" in a fast-paced environment where the office and production teams overlap. You aren't just sitting behind a desk; you are the bridge between the sales team and the inventory they need.

Custom & Creative: Because everything we build is made-to-order, your day will be filled with variety—no two projects are exactly the same.

Active Operations: This is not a "static" desk job. You will frequently move between the office, shops, and the inventory area to verify materials and coordinate with the fabrication team.
