Dolly's Life of Many Colors Museum is a vibrant and immersive museum experience celebrating the life and legacy of country music icon Dolly Parton. Located on the third floor of her new SongTeller Hotel in downtown Nashville, Tennessee, the museum spans over 20,000 square feet and is positioned as her largest exhibition to date.
From her humble beginnings in the Smoky Mountains to global superstardom, the museum invites guests to walk through Dolly's story – the music, movies, style, philanthropy, and the heart behind it all. Using state-of-the-art multimedia, gallery exhibits, and personal artifacts, the museum highlights her songwriting, iconic performances, fashion, and values of family, faith, and imagination that have defined her journey.

Position Summary:
The Operations Coordinator plays a key role in supporting the daily administrative, operational, and guest service functions of the museum. This position works closely with museum leadership to ensure efficient office operations, professional communication, strong organizational coordination, and exceptional customer service.
The ideal candidate is highly organized, detail-oriented, adaptable, and capable of managing multiple priorities in a fast-paced environment. This individual will serve as a central point of coordination for administrative support, internal operations, guest communication, scheduling, and special projects while helping maintain a positive and professional museum experience for staff, partners, vendors, and guests.
The position interacts regularly with guests, vendors, community partners, and internal team members and therefore requires a customer-focused mindset and a collaborative approach. The ideal candidate thrives in dynamic environments, enjoys problem-solving, and is comfortable balancing administrative responsibilities with hands-on operational support.
Key Responsibilities:
- Administrative and Operational Support
- Perform office and administrative functions that support museum leadership and enhance organizational productivity and operational effectiveness
- Maintain and organize office filing systems, both physical and digital
- Manage calendars, scheduling, and meeting coordination
- Handle museum email and phone correspondence
- Support basic recordkeeping, bookkeeping, expense tracking, and administrative project coordination
- Prepare reports, presentations, meeting materials, and other internal and external documents
- Assist leadership with operational needs, special projects, and day-to-day administrative tasks
- Guest and Customer Communication
- Serve as a customer-focused representative and communication liaison for the museum
- Monitor and manage museum voice mail and email inbox messages
- Respond to and appropriately route incoming calls and emails in a timely and professional manner
- Help ensure a positive guest experience through responsive communication and problem-solving
- Meeting and Project Coordination
- Assist with the scheduling and execution of critical meetings and special projects
- Support scheduling, coordination, and communication for meetings and operational projects
- Help track project timelines, deliverables, and follow-up items as needed
- Coordinate with vendors, contractors, and external partners as needed
- Team and Leadership Support
- Support a collaborative, positive, and accountable workplace culture
- Work closely with leadership to maintain smooth museum operations
- Demonstrate professionalism, reliability, adaptability, and initiative in a fast-paced environment
Required Qualifications:
- High school diploma or equivalent required with an associate's degree preferred
- 2+ years of administrative, operations, office coordination, hospitality, or related experience
- Strong organizational and multi-tasking abilities
- Excellent verbal and written communication skills
- Strong customer service and interpersonal skills
- Proficiency in the Microsoft Office suite or software
- Ability to manage sensitive or confidential information professionally
- Ability to work independently while also collaborating with key stakeholders
- Strong attention to detail and problem-solving skills
- Ability to prioritize tasks and adapt in a fast-paced environment
- Ability to stand or sit for long periods of time
- Ability to occasionally lift 25 pounds
- Flexibility to occasionally work evenings, weekends, or holidays as needed
- Work environment includes an office setting in LaVergne, TN and Dolly's Life of Many Colors Museum in Nashville
Preferred Qualifications:
- Experience working in a museum, nonprofit, hospitality, or tourism environment
- Experience with scheduling software, bookkeeping systems, CRM systems, and project management tools
- Passion for museums, entertainment, arts, culture, or guest engagement
