As we are scaling quickly, we're looking for a hands-on Operations Coordinator to ensure every order is packed accurately, shipped on time, and supported by tight inventory control, and assist in other administrative tasks in the office. You will run day-to-day fulfillment for TubeWriter coordinating with sales and production for direct shipping to customers. Working alongside the Production Manager, your focus will be packaging finished goods, receiving and inspecting inbound shipments, testing systems, preparing shipments, maintaining precise inventory levels, and keeping our workflows organized and efficient.
Key Responsibilities
Packaging & Fulfillment
- Pick, pack, and label orders according to SOPs and quality control standards.
- Assemble pallets for shipping.
- Maintain clean, organized packing stations and replenish materials.
Shipping & Logistics
- Create shipping labels; schedule pickups with USPS/UPS/FedEx.
- Track deliveries, resolve exceptions, and process returns/RMAs.
- Select cost-effective services based on speed, destination, and weight.
Inventory Management
- Perform daily cycle counts and scheduled reconciliations; resolve variances.
- Receive inbound stock and organize; verify quantities/quality and update systems promptly.
May assist with Order Operations
- Monitor order queues (site, marketplaces, wholesale POs); prioritize hitting SLAs.
- Produce packing slips, BOLs, and export docs for international shipments.
- Support kitting, promos, and seasonal spikes.
Process & Systems
- Keep SOPs current for packaging, shipping, and inventory controls.
- Use WMS/IMS and shipping software to update statuses and report metrics.
- Propose and implement improvements that reduce errors, lead times, and costs.
Cross-Functional Collaboration
- Partner with Customer Support on replacement orders and delivery issues.
- Coordinate with Procurement/Production to align supply levels and build schedules.
What you'll bring
- Although not required, ideally will have 1 to 2 years in operations/fulfillment or warehouse/logistics.
- Familiarity with shipping platforms and major carriers.
- Comfortable with inventory/WMS tools and spreadsheets.
- Detail-obsessed, organized, and calm under deadlines; able to lift and/or move 50 to 80 lbs. and stand for stretches.
- Clear written/verbal communication and customer-first mindset; Sharp and quick wittedness characteristics welcomed.

Work Environment
- On-site at our facility with occasional overtime during peak demand (weekends or holidays not anticipated).

Compensation
- $55k-$60k, depending on experience, benefits, and potential performance-based incentives, commensurate with experience.
- The desired schedule for this role will be Monday to Friday, 8am to 5pm.
- The position may require travel to customer sites and tradeshows.
