The Operations Coordinator plays a critical role in ensuring smooth day-to-day execution across leasing, maintenance, turns, and vendor operations. This position serves as the central point of coordination between Property Managers, Maintenance, Accounting, and external vendors—ensuring tasks move forward on time, standards are met, and exceptions are surfaced early. This role supports scale and operational efficiency as the portfolio grows.
Primary Objectives • Serve as the hub between maintenance, vendors, property managers, and leadership
• Improve work order flow, scheduling, and follow-through
• Create operational consistency and documentation
• Provide visibility into operational performance and bottlenecks
Core Responsibilities (Initial Scope)
Maintenance & Field Coordination • Route incoming work orders to internal technicians or external vendors
• Monitor open work orders and ensure timely completion
• Assist with unit turns (scheduling, status tracking, readiness)
• Coordinate vacant and move-in logistics including access, utilities
• Flag delays, repeat issues, or capacity constraints to leadership
• Support preventive maintenance scheduling and tracking
Clarification: This role coordinates and tracks work; it does not directly manage technicians unless later expanded.
Vendor & Contractor Coordination • Create and maintain list of approved and preferred vendors by market
• Schedule vendors and manage access logistics
• Coordinate recurring services (landscaping, pest control, cleaning, etc.)
• Track vendor bids, approvals, and work completion
• Coordinate material ordering and vendor scheduling
• Ensure invoices align with approved work orders
• Maintain vendor documentation (COIs, W-9s, contacts)
Communication & Issue Escalation • Act as first point of contact for operational coordination issues
• Route issues appropriately to maintenance supervisor, PM, or leadership
• Ensure timely updates are communicated to stakeholders
• Escalate emergencies, safety issues, or recurring problems
Systems, Documentation & Reporting • Maintain accurate records in property management software
• Ensure notes, photos, and completion details are entered
• Track operational KPIs (work order aging, turn times, vendor response)
• Prepare weekly operational summaries for leadership
Process Support & Improvement • Help document SOPs for maintenance, vendors, and operations
• Identify inefficiencies and recurring pain points
• Support implementation of standardized workflows / automation
• Assist with onboarding coordination for new operations or maintenance hires
Qualifications & Skills
Required:
2+ years of experience in property management operations, leasing support, maintenance coordination, or similar role
Strong organizational and time-management skills
High attention to detail and follow-through
Excellent written and verbal communication skills
Comfortable working across multiple systems and trackers simultaneously
Preferred:
Experience with AppFolio or similar property management software
Familiarity with maintenance workflows, turns, and vendor coordination
Experience supporting multifamily and/or single-family portfolios
