Operations Coordinator (OC)

We are hiring for a full-time Operations Coordinator based in Lincolnwood, Illinois.
This role is in office Monday – Friday, 7:00 AM – 4:00 PM
Our industry presents us with a variety of challenges to tackle daily. Sometimes you will have very “run-of-the-mill” days. Others, the plan will fly out the window at 7:01AM. When information is scarce or we are gathering information through action, your ability to work nimbly and prioritise next steps is critical to the team's success.
You are engaged in all steps of our process. This role has impact across all departments in the company. Your primary focus is shop operations and administration. Their needs ranges from office supplies to administrative support, challenging sourcing of obscure materials, travel booking, to coordination of complex trucking logistics.
Reports to: Director of Operations
MAIN RESPONSIBILITIES
- Support Operations Manager with purchasing shop supplies, shop inventory, and project specific goods and materials. Keep the office and coffee shop supplies stocked.
- Update POs with return information, coordinating with the facilities and finance teams.
- Update shop documents as requested.
- Support Facilities team taking inventory; cover this responsibility in their absence.
- Track down SDS when requested.
- Keep driver resources stocked and up to date including: key sign outs, gas and purchasing card sign outs, and trailer seals.
- Coordinate the sale or donation of miscellaneous items in the shop. Often, we post to Craigslist, donate to the Habitat ReStore, and to other local non-profits.
- Onsite support for people working from home. This includes getting shop resources to the correct person in the building, gathering information and reporting to the interested party, forward office lines to mobile phones, and the like.
- Manage recycling of multiple outbound material streams: paper, cardboard, steel, aluminum, electronics.
- Keep the core administration of the office humming:
- Create the call out list and communicate call outs to the team.
- Handle all USPS activity: sort, distribute, and send mail.
- Answer the main phone line for Ravenswood Studio and direct calls appropriately.
- Greet clients and other studio guests who enter through our front doors.
- Create shipping labels for common carriers, UPS, FedEx, DHL, outbound trucks, etc.
- Place our daily order with McMaster-Carr and create the associated PO.
- Monitor supply levels in the office and reorder according to specified stocking levels.
- Stock shop forms throughout the building.
- Stock Safety Stations and first aid kits. This includes the shop kits and travel kits.
MINIMUM JOB REQUIREMENTS
- Relevant degree/diploma, professional certification, or equivalent work experience/demonstrated skills.
- Minimum of 2 years' experience in a related field.
- Adaptable to different working styles, mindsets, and personalities, showcasing a willingness to collaborate.
- Strong written and verbal communication skills. Ability to communicate proficiently and proactively.
- Strong organizational and planning skills.
- Broad functional knowledge of MS Office (Excel, Outlook, Word).
- Ability to prioritize, troubleshoot, and look for solutions in the “whirlwind” of a lively production facility.
- Ability to work on multiple projects concurrently.
- Work safely in both an office environment and active fabrication facility. Wear protective footwear at all times in the shop. Safely wear ear, eye, and/or respiratory protection as required.
