    The Role

    This position plays a key role in keeping our operation organized and running smoothly day to day.

    When things are working well, jobs are prepared correctly, paperwork is complete, billing is aligned, and the office, warehouse, and driving teams are on the same page. This role helps make that happen by staying on top of the details and keeping everything moving forward.

    We are in the process of transitioning from a more paper-based system to a more technology-driven operation. This role will be directly involved in that transition. Early on, the position will be more paper-heavy, but over time will evolve into more system-based and digital processes.

    What You'll Be Responsible For

    Job Flow & Packet Organization

    • Build and organize job packets for newly booked work
    • Make sure each job file is complete, accurate, and ready to go
    • Print and maintain both physical and digital paperwork
    • Support coordination between sales, dispatch, and warehouse

    Data Entry & Financial Support

    • Enter and maintain accurate job information
    • Assist with invoice creation and billing support
    • Perform QuickBooks data entry
    • Help keep records clean and up to date

    Office Support & Communication

    • Answer incoming phone calls and assist customers professionally
    • Respond to customer questions and provide updates as needed
    • Take notes during meetings and help track follow-ups
    • Send customer communications and notifications
    • Assist the team with ongoing projects and daily needs
    • Jump in where needed to keep things on track

    Warehouse & Systems Support

    • Help keep warehouse data and tracking organized
    • Support documentation related to storage and inventory
    • Help ensure communication between office and warehouse stays clear

    • Job paperwork is complete and easy to follow
    • Job packets are organized and consistent
    • Data and billing information are accurate
    • Customers receive clear, timely communication
    • The office and warehouse stay aligned
    • Tasks are followed through without needing reminders
