    Operations Coordinator - In Person Office Position Touchstone Group is hiring an Operations Coordinator to serve as a highly trusted and cross-functional partner to our CEO. This is not a traditional admin role — it’s a high-ownership position that blends business operations, project management, CRM oversight (HubSpot), marketing support, and client engagement. You’ll help drive operational excellence across our real estate, construction, and development divisions, while gaining visibility into executive-level decision-making and strategic initiatives. Responsibilities: Business & Office Operations • Manage day-to-day office logistics, systems, and vendor coordination. • Oversee office supplies, mail handling, check receipts, and deposit preparation. • Support internal systems, including GSuite email admin and iCloud file management. • Coordinate with accounting on contractor and broker payments. CRM Management (HubSpot) • Maintain, update, and optimize our HubSpot CRM across real estate, construction, and marketing pipelines. • Manage client onboarding workflows, lifecycle tracking, and follow-ups. • Oversee CRM-based email marketing campaigns and reporting. Real Estate & Construction Support • Coordinate onboarding paperwork for real estate agents and construction leads. • Manage listing uploads, photo organization, and post-closing feedback collection. • Track project deliverables and follow-ups for ongoing construction opportunities. • Upload and organize project invoices and drone/video content. Sales & Marketing Coordination • Post broker hires and project updates across social media (IG, FB, LinkedIn). • Assist with newsletter blasts, brand visibility efforts, and events. • Support the creation of marketing content using tools like Canva and Adobe. Client & Relationship Management • Act as liaison between the CEO, clients, brokers, and vendors with professionalism. • Ensure exceptional client experiences by managing reviews, gift orders, and follow-ups. • Champion client loyalty through timely outreach and CRM follow-through. Project & Strategy Support • Prepare presentations, data reports, and project status updates for leadership. • Track KPIs across real estate and construction performance. • Provide insights that help streamline workflows and drive decision-making. Qualifications: • 3–5 years of experience in operations, project coordination, or a similar cross-functional role. • Hands-on experience with HubSpot CRM is required. • Tech-savvy with GSuite, Apple tools, Asana, Canva, Adobe, Airtable, MLS, and Jobber. • Strong organizational skills, excellent communication, and a bias for action. • Ability to work independently, juggle priorities, and move fast without losing details. • A high degree of discretion when handling sensitive information. • Bachelor's degree preferred, but not required if relevant experience is strong. Compensation: $50,000 + Commission & Bonuses
