Our mission is to deliver exceptional service to clients while building a world-class real estate business. We are seeking a highly organized and proactive Operations Manager to oversee the business's day-to-day operations. This person will work directly with the team leader to ensure that systems run smoothly, transactions stay on track, and the team operates at the highest level of efficiency. This position is ideal for someone who takes pride in keeping a business organized, solving problems before they become issues, and helping a team operate at a high level. Responsibilities: Operations & Systems Execution • Execute and maintain the team’s operational systems and workflows • Assist in refining and improving existing standard operating procedures • Monitor operational dashboards and assist with tracking business performance metrics • Identify inefficiencies in workflows and recommend improvements Administrative Management • Manage administrative tasks that support the daily operation of the business • Prepare and organize lead generation materials, including monthly golden letter campaigns • Maintain and update the team’s CRM and database with accurate data entry • Assist with tracking leads, contacts, and follow-up systems Agent Support • Assist with onboarding new agents joining the team • Coordinate ordering business cards, marketing materials, and signage for agents • Help track agent production, goals, and performance metrics • Provide administrative and clerical support to agents as needed Field & Logistics Support • Coordinate installation and removal of real estate yard signs & lockboxes • Assist with listing preparation logistics and operational errands when needed • Help ensure marketing materials and listing supplies are organized and available Vendor & Project Coordination • Coordinate with vendors, photographers, contractors, and service providers • Track invoices and assist with vendor payments when necessary • Help keep marketing and operational projects moving forward Marketing & Event Coordination • Assist with planning and executing client appreciation events and marketing initiatives • Coordinate logistics for campaigns, promotions, and marketing projects Executive Support • Assist the team leader in staying focused on high-value activities Qualifications: • Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously • Excellent attention to detail and commitment to accuracy in administrative work • Strong written and verbal communication skills • Ability to take initiative and solve problems proactively without constant direction • Comfortable working in a fast-paced environment with shifting priorities Experience & Skills • Previous experience in administrative support, operations management, or office coordination preferred • Real estate experience is helpful but not required • Experience using CRMs, spreadsheets, and digital task management tools • Strong proficiency with Microsoft Office or Google Workspace • Ability to manage databases, track information, and maintain organized records Practical Requirements • Valid driver’s license and reliable transportation (for occasional sign running and errands) • Comfortable performing a mix of office work and occasional field tasks • Ability to maintain confidentiality when handling client and business information Personal Traits We Value • Highly dependable and accountable • Organized and systems-oriented • Service-minded and supportive of team success • Positive attitude and strong work ethic Compensation: $40,000 - $50,000 yearly
