As our Operations Manager, you’ll be the behind-the-scenes force that keeps our advisors and clients moving forward with clarity and confidence. Compensation: • Salary Range: $80,000 - $90,000 (based on experience) • Bonus potential • Paid Time Off • Health care option (Health & Dental Insurance) • 401(k) Responsibilities: • Generate and process all client and account paperwork, including new accounts, transfers, contributions, redemptions, and account changes. • Prepare illustrations and proposals for client review. • Track and manage client and account maintenance next steps to ensure timely follow-through. • Coordinate client business flow and pipeline to optimize advisor productivity. • Send personalized meeting follow-up letters and communications. • Assist with licensing, appointments, and registrations as needed (under supervision). • Generate, update, and support client interactions with planning tools such as LIFE Vision. • Provide authorization for office supplies and travel purchases within budget guidelines. • Coordinate bill payments and vendor relations. • Resolve issues related to client data accuracy in systems such as Redtail and Albridge. • Support office compliance efforts, including preparation for audits and responding to inquiries. • Handle miscellaneous operational and client-related activities to maintain high service standards. • Collaborate with advisors on alternative investment documentation and high-net-worth client servicing workflows. Qualifications: • At least 5 years of experience in paperwork processing and operations within a financial services firm, with demonstrated securities industry exposure (e.g., handling account openings, transfers, or compliance documentation). • Excellent attitude and a strong client service orientation , with a genuine interest in serving high-net-worth individuals and their unique financial needs. • Exceptional attention to detail to ensure error-free processing of sensitive financial documents. • Strong organizational and time management skills to manage multiple priorities in a dynamic wealth management setting. • Ability to handle multiple tasks under pressure while maintaining composure and accuracy. • Proficiency in financial software tools (e.g., CRM systems like Redtail , reporting platforms like Albridge ). • Excellent written and verbal communication skills for client correspondence and internal coordination. • Commitment to on-site work in Chester Springs, PA, with flexibility for occasional extended hours during peak periods. Preferred: • Familiarity with alternative investments (e.g., private equity, real estate syndications, hedge funds) and their operational requirements. • Previous experience in a wealth management or RIA environment supporting high-net-worth clients. • Para-planning or financial planning support experience. • Bachelor’s degree in Finance, Business Administration, or a related field. • Knowledge of SEC and FINRA compliance basics (licensing not required).
