We are seeking a highly organized, proactive Office Manager to oversee daily administrative operations and help drive efficiency and profitability.
Position Overview
The Office Manager is responsible for managing the administrative functions of the office, supporting production and sales teams, coordinating with insurance carriers and customers, and ensuring smooth day-to-day operations. This role requires strong leadership, organization, communication, and financial management skills.
Key Responsibilities
Administrative & Operations Management
Oversee daily office operations and administrative staff
Manage scheduling and job coordination between field teams and customers
Maintain job files and ensure compliance with industry standards
Implement and improve office systems and workflows
Financial & Reporting
Manage accounts receivable and payable
Assist with billing, invoicing, and collections
Track KPIs and prepare performance reports
Support budgeting and expense monitoring
Customer & Insurance Coordination
Serve as primary point of contact for customers
Coordinate with insurance adjusters and carriers
Ensure proper documentation for claims processing
Maintain high customer satisfaction standards
HR & Team Support
Assist with hiring, onboarding, and training office staff
Maintain employee records and time tracking
Support leadership with team accountability and performance management
Qualifications
3+ years experience in office management (restoration or construction industry preferred)
Strong knowledge of billing, AR/AP, and basic accounting principles
Experience working with insurance claims (preferred)
Proficient in Microsoft Office and CRM/job management software
Strong organizational and multitasking skills
Excellent communication and leadership abilities
