In this role, you will lead day-to-day operations, manage administrative and virtual teams, and ensure transactions, workflows, and processes are executed accurately, efficiently, and on time across multiple markets. This is a high-impact leadership position for someone who takes full ownership, drives accountability, and knows how to scale operations with precision. Compensation • Salary Range: $60,000 - $70,000 • Paid Time Off • Benefits are negotiable Responsibilities: Administrative & Virtual Team Leadership • Recruit, hire, and onboard administrative staff and virtual assistants • Create and maintain job descriptions, SOPs, and training materials • Lead weekly team check-ins, manage KPIs, and ensure accountability • Conduct performance reviews and provide coaching to improve productivity and quality • Oversee task management and time-tracking systems • Enforce schedules, coverage requirements, and communication standards Operational Systems & Workflow Management • Implement, manage, and optimize tools including Lofty CRM, Notion, Skyslope, and Google Workspace • Build and maintain workflows for listings, transactions, and client communications • Maintain dashboards tracking listings, pendings, closings, and deadlines • Ensure accurate organization of contracts, NDAs, BAAs, offers, and transaction files • Maintain data integrity, privacy, and internal access controls Real Estate Compliance & Transaction Oversight • Ensure compliance with MLS rules, brokerage policies, and multi-state transaction timelines • Monitor transactions for deadlines, documentation, and compliance • Support agents and leadership in resolving complex or at-risk transactions • Coordinate with admins and transaction support to maintain audit-ready files Strategic Hiring & Team Support • Oversee agent onboarding processes, including tech setup and workflow integration • Partner with leadership to assess personnel needs and plan for growth • Track operational capacity and gaps as the team scales Internal Communication & Leadership Support • Build dashboards and reporting for leadership visibility • Run weekly internal meetings with agendas, notes, and follow-ups • Provide consistent operational updates and ensure team accountability • Lead virtual assistants and transaction support teams Event & Conference Support • Coordinate logistics and materials for team events and real estate conferences • Manage team assets such as branded materials, QR codes, and lead capture systems • Oversee post-event lead routing and CRM follow-ups Qualifications: • Proven experience in operations management or team leadership • Real estate experience preferred; willingness to obtain a license if needed • Strong systems thinker with process-building expertise • Knowledge of real estate operations, compliance, and transaction workflows • Highly organized with strong attention to detail • Sense of urgency, ownership, and team-first mindset • Clear, confident communicator across teams and leadership • Advanced proficiency in Google Workspace, Notion, Lofty CRM, Skyslope, and task management tools • Must be local to the Knoxville, TN area for future in-person events, but the role will be remote Compensation: $60,000 - $70,000
