    Operations Manager (Customer-Focused Operator)

    We have launched a new restoration company in Rochester backed by a national brand - and we’re looking for a high-level, customer-focused operator to help run business operations.

    You’ll work directly with the owner and help build the company, keeping operations organized, customers taken care of, and jobs moving quickly from first call through completion.

    Requirements

    Strong customer-facing background (restoration, retail, hospitality, or service industry)

    Manual Labor hands on mentality

    Ability to commit 50-60 hours per week and be on call for when needed

    Estimating experience required - ideally restoration or construction-related estimating

    Xactimate experience preferred, but not required

    Candidates without Xactimate experience should have strong construction/trades estimating aptitude and willingness to learn

    Desire to become Xactimate certified and develop estimating proficiency over time

    NYS Mold Supervisor License preferred (or willingness to obtain through company-sponsored training)

    IICRC certifications are a plus (WRT, ASD, AMRT, FSRT, etc.)

    Experience promoting brand and identifying opportunities to generate new business

    Highly reliable - shows up, follows through, and gets things done

    Organized and detail-oriented with a sense of urgency

    Strong communicator (phone, in-person, email)

    Comfortable in a fast-paced, hands-on environment

    Tech-savvy and comfortable using systems, apps, and digital tools

    Understands tools, trades, or has general handyman-type awareness

    Desire and ability to perform physical labor

    Startup Environment / Flexibility Expectations

    This is a full-time salaried position. As a startup operation, flexibility is critical during the early ramp-up phase.

    This role combines operations, customer service, estimating support, and hands-on involvement in the business as we grow. Team member should be willing to assist across multiple areas of the company depending on operational needs - including customer response, job intake, estimating, carpet cleaning, tile & grout cleaning, contents work, warehouse organization, marketing/networking activities, and field support when needed.

    Candidate should be fully ready to perform manual labor as needed - especially during the early stages of the business, this will be a highly hands-on role. There will be times where you are physically helping on jobs, assisting crews, moving equipment, setting up containment, cleaning, helping with warehouse organization, and doing whatever is needed to help get the company off the ground successfully.

    While this is not intended to be a full-time field labor position long term, we are looking for someone with a team-first mentality who is willing to jump in, stay productive, and help drive the business forward wherever needed during launch and growth.

    We’re looking for someone who wants to help build the operation, solve problems, take ownership, and contribute across multiple areas of the business as we scale.

    Responsibilities (examples, not comprehensive)

    Operations & Job Flow:

    Manage day-to-day operations, scheduling, and job flow

    Respond quickly to new losses and help coordinate rapid response efforts

    Perform on-site assessments, scope jobs, and support estimate development

    Keep jobs organized, on track, and moving internally

    Support estimating, invoicing, and job documentation

    Support team with proper documentation so that jobs are paid accurately and on time

    Financial & Administrative:

    Manage A/P and A/R

    Communicate with insurance companies to support timely approvals and payment

    Customer Experience:

    Handle incoming calls, customer communication, and follow-ups

    Ensure a high level of customer experience from first call through job completion

    Meet customers on-site, assess situations professionally, and help guide them through the restoration process

    Build trust quickly with customers during emergency situations through professionalism, urgency, and communication

    Review pricing, explain scope of work, and assist in securing signed work authorizations and required documentation

    Help convert incoming opportunities into scheduled and approved work through strong communication and follow-through

    Sales & Growth:

    Support sales, estimating, and customer follow-up efforts to help maintain momentum and close business

    Assist in building relationships with referral partners and customers

    Represent the company locally (BNI, chamber, trade events) to help build the brand

    Systems & Leadership:

    Help build systems, processes, and structure as the company grows

    Communicate across the team to keep everyone aligned and executing at a high level

    Solve problems proactively and keep things moving without waiting for direction
