The Marina at Highland Lake is seeking a versatile, high-energy Operations & Office Manager to lead our team in day-to-day business functions. This role is the heartbeat of our small, family-run business; it requires a dependable professional who can seamlessly transition between team management, high-level bookkeeping, and premium customer service. The ideal candidate thrives in a dynamic environment and is committed to maintaining the excellence of our operations.
Schedule Seasonal Flex (Full-time in summer / Part-time in winter)
This role follows the natural rhythm of the lake season:
Peak Season (May–Sept): up to 40 hours/week (Includes one weekend day and summer holidays).
Shoulder Season (Mar, Apr, Oct, Nov): ~28-32 hours/week.
Off-Season (Dec–Feb): ~24 hours/week.
Key Responsibilities
Strategic Office Management
Customer Experience: Deliver first-rate service as the primary point of contact via phone, email, and in-person interactions.
Financial Oversight: Act as a "Full Charge Bookkeeper" managing all A/R, A/P, and financial records via QuickBooks Online.
Administrative Leadership: Maintain accurate customer databases for service, storage, and legal contractual agreements.
Retail Operations: Oversee store inventory, point-of-sale (POS) processing, office equipment/supplies, and overall property aesthetics.
Operational Logistics
Fleet Management: Respond to inquiries and manage customer reservations for our boat rental fleet. Coordinate boat rental schedules and manage the end-to-end check-in/check-out process.
Team Leadership: Recruit, train, and schedule seasonal staff; Provide leadership by example; this includes assisting the dock team with fueling and rental transitions during peak 'rush' periods.
Sales Support: Facilitate sales inquiries for new/used boats and Shoremaster dock and boat lift systems. Manage inventory, digital listings and assist with registration documentation.
Brand & Marketing Support
Digital Presence: Assist with social media updates and routine website maintenance to support online engagement.
Collateral: Help coordinate the production of marketing materials and brochures to promote seasonal services.
Event Support: Provide administrative and onsite assistance for marina events, including boat shows, demo days, and marketing functions.
Qualifications & Skills
Leadership: Proven supervisory experience with the ability to motivate a seasonal team.
Technical: Proficiency in QuickBooks Online, Microsoft Excel, and Word is required.
Communication: Exceptional written and verbal skills and a commitment to outstanding customer service.
Physical Requirements & Environment: Ability to lift up to 25 lbs. and work outdoors in varying weather conditions.
Knowledge: Familiarity with boating terminology, boating experience and local lake culture is preferred.
Professionalism: Maintains a professional appearance and demeanor as a key representative of the marina brand.
