We are currently seeking a motivated and detail-oriented Operations Specialist to play a critical role in our back-office team. In this position, you will serve as a trusted operational partner to our advisor practices, ensuring seamless processing across a wide array of client and account activities. You will specialize in services provided by National Financial Services (NFS) and other industry platforms, while proactively managing exceptions and resolving issues to protect client interests and maintain the highest standards of service. Responsibilities
- Act as a key operational specialist for services supported by NFS and other custodians, broker-dealers, and industry participants, working closely with advisor practices to understand and fulfill client needs efficiently.
- Manage and resolve operational exceptions, discrepancies, and complex issues with urgency and accuracy to safeguard client accounts and uphold regulatory and firm standards.
- Handle a broad spectrum of daily operational activities, including asset movements (transfers, journals, withdrawals), document processing and review, account maintenance and updates, account transfers/ACATS, advisory fee processing, estate and trust workflows, annuities, margin accounts, and alternative investments.
- Process transactions, review documentation, and ensure timely execution while maintaining meticulous records and compliance with all applicable rules.
- Collaborate effectively with advisors, internal teams, custodians, and external partners to troubleshoot challenges, streamline workflows, and deliver responsive, high-quality support.
- Contribute to ongoing process improvements, identifying opportunities to increase efficiency and reduce risk in operational procedures.
- Respond promptly to operational inquiries and support requests in a fast-paced environment while balancing multiple priorities.
Qualifications
Required:
- Excellent written and verbal communication skills, with the ability to explain complex processes clearly and professionally to advisors, clients, and colleagues.
- Strong proficiency in Microsoft Office Suite (particularly Excel, Word, and Outlook).
- Exceptional attention to detail, organizational skills, and a commitment to accuracy even under pressure.
- Proven ability to work independently with minimal supervision while taking ownership of tasks and meeting deadlines.
- A genuine client-service mindset and a strong desire to learn a wide range of operations functions in the wealth management space, coupled with a hardworking, proactive attitude.
Desired:
- Previous back-office operations or processing experience in a financial services, brokerage, or wealth management firm.
- Familiarity with broker-dealer operations, clearing firms, or platforms such as National Financial Services (NFS) is highly advantageous.
Compensation & Structure
This is a 1099 contract position with a competitive compensation range of $55,000 to $65,000 (based on experience and qualifications), with a clear plan and opportunity to transition to full-time W2 employment as the role and firm continue to grow.
This is a full-time, in-office role located at our St. Louis Riverfront office. No travel is required.
