Job description:
Growing Kids Therapy Center (GKTC) is seeking a compassionate, detail-oriented Operations Support Assistant to support the smooth daily operations of our vibrant therapy center. This role is essential in ensuring both our clients and practitioners experience a welcoming, organized, and efficient environment. GKTC provides on-the-job training; once trained, the individual should be able to work independently while managing multiple responsibilities with accuracy and care.
Key Responsibilities
Client & Workspace Support
Prepare center workspaces to create a practical, safe, and inviting client experience.
Provide customer service by greeting in-person clients, assisting with Zoom session resources, answering incoming phone calls, and responding to email inquiries.
Clerical & Administrative Support
Prepare and review new client packets and paperwork.
Maintain clerical records with accuracy and confidentiality.
Assist with practitioner support, including filing lessons, uploading videos, and typing transcripts.
Retail & Resource Support
Bind lesson workbooks, fill purchase orders, and prepare client giveaways.
Manage clinic inventory, including tracking, ordering, and replenishment of supplies.
Coordinate mail, including receiving, packaging, and preparing labels for outgoing orders.
General Operations
Support day-to-day operations as assigned by the Practice Manager.
Contribute to a positive and collaborative team culture.
Qualifications
Proficiency with office support tools, including Microsoft Office Suite or similar programs.
Excellent verbal and written communication skills with the ability to interact courteously and effectively with diverse individuals.
Strong attention to detail and accurate typing skills.
Ability to follow oral and written directions and work independently once trained.
Strong organizational skills with the ability to plan and coordinate work projects, sometimes requiring collaboration with others.
Previous experience in administrative support, customer service, or office operations preferred but not required.
