    This position is located on FM 1960 W and Champions Forrest in the Champions area of Houston.

    We are seeking a bright and charming individual to manage our front desk daily and perform various administrative and clerical tasks. As a Receptionist, you will be the first point of contact for our company, providing essential support across the organization in a fast paced environment. Your responsibilities include welcoming guests, coordinating front-desk activities, authorizing insurance, confirming and making appointments, redirecting phone calls, checking out patients after their visits, and ensuring compliance with HIPAA regulations.

    To excel in this role, you should have a pleasant personality, be highly detail-oriented, and possess excellent multitasking and stress management skills. The ability to handle emergencies effectively while streamlining office operations is crucial. Ultimately, our Receptionist ensures the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards.

    Responsibilities:

    Greet and welcome guests as soon as they arrive at the office

    Direct visitors to the appropriate person and office

    Answer, screen, and forward incoming phone calls

    Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g., pens, forms, and brochures)

    Provide basic and accurate information in-person and via phone/email

    Receive, sort, and distribute daily mail/deliveries

    Maintain office security by following safety procedures and controlling access via the reception desk, ensuring every patient is identified and checked in properly

    Update calendars and schedule appointments

    Perform clerical receptionist duties such as filing, photocopying, transcribing, and faxing

    Check out patients after their visit, ensuring all paperwork is completed and appointments are scheduled

    Ensure compliance with HIPAA regulations in all interactions and handling of patient information

    Obtain accurate information from patients and input it into the system

    Skills:

    Proven work experience as a Receptionist, Front Office Representative, or similar role

    Proficiency in Microsoft Office Suite

    Hands-on experience with office equipment (e.g., fax machines and printers)

    Professional, positive attitude and appearance

    Solid written and verbal communication skills

    Detail-oriented with strong organizational skills

    Ability to be resourceful and proactive when issues arise

    Excellent multitasking and time-management skills, with the ability to prioritize tasks

    Knowledge of Electronic Health Records (EHR) systems

    Understanding of HIPAA regulations and commitment to maintaining patient confidentiality

    Flexible and able to adapt to changing priorities and tasks

    Strong team player with a collaborative mindset

    Experience:

    Reception customer service: 1 year (Preferred)

    Must have some optical experience

    Schedule:

    Our office hours are Monday - Friday, 9:00 am - 6:00 pm and Saturday 9:00 am - 1:00 pm. We are closed on Sunday and you will have an additional day off during the week based upon the needs of the practice. Those who are not available during these work times will not be considered for our position.
