    Payroll Specialist

    Job Overview

    The Payroll Specialist is a primary point of contact and subject matter expert (SME) for all areas of payroll. This role will oversee all payroll functions to include end-to-end payroll administration, audits, training and development, business process improvements, and state/federal compliance. This role works under general supervision, with moderate latitude for use of initiative and independent judgement. The Payroll Specialist will report directly to the Controller.

    Job Responsibilities

    Oversee the implementation, maintenance, and review of payroll processing systems to ensure timely and accurate processing of multi-state payroll for 650+ employees.

    Review, reconcile, and investigate discrepancies in payroll records for accuracy; maintain and monitor the payroll inbox.

    Calculate and prepare manual checks as necessary for payroll corrections and involuntary terminations.

    Manage bonus and commission payroll calculations, maintain updated bonus tier sheets, and process one-off bonuses as required.

    Handle payroll deductions, including uniform deductions, taxes, child support orders, and garnishments.

    Collaborate with HR and Accounting departments to ensure accurate information for payment processing.

    Ensure compliance with federal, state, and local payroll tax, wage, and hour laws, adhering to best practices.

    Work cross-functionally to develop and refine payroll processes, documenting procedures and providing field-level training.

    Respond to audit requests from state and federal government agencies, interacting with tax boards as necessary to resolve tax issues.

    Manage unemployment reporting and setup for new locations, serving as the primary point of contact with the payroll provider for issue resolution.

    Handle the yearly issuance of W2 forms, generate custom reports including year-end reports, and provide ad hoc reporting as needed.

    Maintain confidentiality of payroll operations and uphold employee confidence in payroll processes.

    Job Requirements

    3-5 years of payroll experience

    Proficient in Payroll systems, preferable ADP Workforce Now

    Demonstrated ability to quickly learn and identify business process improvements

    Intermediate to advanced proficiency in Microsoft Excel, including VLOOKUP, XLOOKUP, and Pivot Tables

    Exceptional organizational and time management abilities

    Meticulous attention to detail and data entry accuracy

    Working knowledge of federal, state, and local payroll wages
