    The OSDIA team is looking for a driven, organized administrative assistant to join our team and maximize our impact as an organization. The administrative assistant will work with all staff to support the missions of OSDIA, SIF, and CSJ and represent our values when interacting with members and the community. This position is a key link in supporting the efficient and smooth day-to-day operations of the organization. This is a full time, in-office position that includes a comprehensive benefits package with health insurance, dental coverage, vacation/sick time, and matching retirement contribution. Salary $45,000-$55,000 annually, commensurate with experience. Responsibilities: Office Operations Management: • Answer phones, manage emails, and handle inquiries. • Coordinate vendor meetings and accept deliveries. • Open, sort, and distribute incoming mail. • Maintain office supplies, swag closet stock, and inventory. • Assist with new employee onboarding. • Manage file of office standard operating procedures and prepare/update procedures relevant to job duties. Document Management and Financial Tasks: • Save documents in appropriate electronic location, while managing document filing system. • Prepare and mail donation acknowledgment letters. • Compile credit card receipts monthly. Database Maintenance and Member Relations: • Keep contact rosters and lodge databases up to date. • Coordinate member list updates and handle member inquiries. • Ship new member packages, send renewal notifications, and maintain member benefits list. Communication and Public Relations: • Update website content as needed. • Send e-blasts, press releases, and update email lists for effective communication. • Compile mailing list submissions and manage related reminders and deadlines. Additional Administrative Tasks: • Assist National Executive Director with meeting coordination, including scheduling, agenda preparation, and logistics. • Coordinate travel arrangements for staff and executives as needed, including booking flights, accommodations, and transportation. • Perform other administrative duties as assigned by the National Executive Director. Qualifications: • High school diploma or equivalent; additional qualifications in Office Administration are a plus. • Proven experience as an administrative assistant or in a similar role. • Outstanding written and verbal communication skills • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects. • Excellent organizational, multitasking, and customer service skills. • Shows ability to quickly finish very detailed work. • Team player with a resourceful, can-do attitude who thrives in a fast-paced environment. • Proficiency in Microsoft Office Suite and an aptitude for learning new software and systems. • Canva and WordPress experience a plus. Compensation: $45,000 - $55,000 yearly
