    Job Description

    The Administrative Assistant performs a basic range of secretarial and administrative duties, including answering phones, ordering office supplies, simple data entry, filing etc.

    ESSENTIAL DUTIES AND RESPONSIBILITIES: This is a Full-Time position. Days and hours of work are Mondays through Fridays, 8:00am to 5:00pm. Hours may need to be extended or adjusted at any time, with or without notice, to meet the needs of the organization.

    Responsibilities include, but are not limited to, the following:

    • Prepares memorandums and other correspondence; these documents may contain confidential information
    • Review employee expense reports and mileage logs
    • Keep accurate files of invoices and expenses
    • Copying & distribution of documents as needed
    • Routes telephone calls and visitors
    • Give information to callers, potential applicants, may route incoming mail, and performs other administrative and clerical duties
    • Place orders for office supplies as needed

    QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed are representative of the knowledge, skill, and/or ability required to perform successfully in this position.

    REQUIRED SKILLS:

    • This person should have a professional demeanor in representing the organization, and generally be friendly and confident
    • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals  
    • Ability to write routine correspondence and to speak to customers in a professional manner
    • Knowledge of Microsoft Office Suite, including Word, Excel and PowerPoint
    • Adjusted typing speed of minimum 60WPM

    EXPERIENCE AND EDUCATION: One-year experience in an administrative field, associate’s degree in a related field, or any combination of education, training or experience that demonstrates the ability to perform the duties of the position.

    Physical demands: While performing the duties of this job, the employee is regularly required to talk or hear. Specific vision abilities required by this job include close vision and ability to adjust focus. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.

    Work environment This job operates in a professional office environment. This role routinely uses standard office equipment such as laptop computers, photocopiers and smartphones. The work environment is generally quiet.
