Job Description
1.0 Nature & Objective:
This role will handle office activities and operations while providing clerical and administrative support to the Operations Manager. This position primarily will answer all phones into the company as well as assist customers with inquiries, schedule service calls/pickups and/or research customer billing issues related to oil purchases/sales as well as antifreeze sales, vacuum truck services, and oil filter pickups.
2.0 Position Qualifications:
- AA degree or a minimum of five to seven years of qualifying work experience
- Bilingual – Spanish and English
- Ability to communicate effectively both verbally and written format
- Advanced skills in Microsoft Office Suite specifically Excel with proficient math capabilities
- Ability to learn new proprietary software and applications specific to the oil industry and Origin specific (i.e., RMA)
- Knowledge of oil, gasoline and diesel logistics industry preferred
- Excellent organization and customer service skills
- Service oriented and able to resolve customer inquiries
- An all-around team player, high energy with positive attitude and willingness to participate in team atmosphere
3.0 Responsibilities include the following:
Daily responsibilities include but are not limited to:
- Answering the phone and scheduling service calls
- Assisting customers with questions and research customer billing issues
- Input of all daily paperwork including corrections, invoicing, and balancing
- Preparation and mailing of customer invoices and monthly statement preparation
- Preparation of customer payments and/or assist with customer collections including but not limited to oil, oil filters, antifreeze and vacuum truck services
- Completion of various customer account data analysis
- Assist, as necessary, with truck route logistics and serve as a backup to the Dispatch role if and when required (cross training as backup).
- Receives mail, documents, packages, and courier deliveries and delivers or distributes items throughout the location(s)
- Ordering of all office supplies and/or other operating materials
- Performs basic administrative and clerical support tasks as well as filing, recordkeeping and general office operations as necessary or requested
- Strives to develop good working relationships with co-workers, contractors, customers and associates. Exemplifies high levels of moral, ethical standards and values.
