    Position Summary

    Revolution Office is seeking a detail-oriented and highly organized Out-of-Area Operations Coordinator to support the processing and coordination of Out-of-Area (OOA) sales transactions. This role serves as a key liaison between Sales Representatives, outside dealers, Service, and internal operations teams to ensure OOA requests are processed accurately, efficiently, and within established timelines.

    The ideal candidate is a strong communicator who can manage multiple transactions simultaneously, maintain accurate documentation, identify and resolve discrepancies, and proactively follow up with internal and external partners. This position requires excellent organizational skills, attention to detail, and the ability to take ownership of transactions from initial request through completion.

    Essential Duties & Responsibilities

    • Monitor and process incoming Out-of-Area (OOA) requests, ensuring all required forms and supporting documentation are complete and accurate.
    • Review request details, identify missing or inconsistent information, and follow up with Sales Representatives as needed.
    • Research and select appropriate dealers based on territory, transaction requirements, and business needs.
    • Prepare and distribute Inter-Territorial agreements using approved templates, fee schedules, and transaction information.
    • Coordinate with dealers and Sales Representatives to obtain approvals, resolve discrepancies, and keep transactions moving within required timelines.
    • Maintain accurate OOA tracking records, including status updates, milestones, communications, and outstanding requirements.
    • Verify shipping, delivery, and contact information to support accurate and timely fulfillment.
    • Maintain complete and organized transaction documentation, including agreements, approvals, correspondence, BOLs, PODs, and related records.
    • Coordinate OOA lease-return activity, including equipment audits, pickup scheduling, warehouse delivery, and supporting documentation.
    • Assist with sales order fulfillment and inventory alignment for supply shipments and large customer transactions.
    • Proactively identify delays or issues and escalate complex or time-sensitive matters to management when necessary.

    Qualifications

    • High school diploma or equivalent required.
    • Prior experience in sales operations, order processing, administrative coordination, customer service, logistics, or a related business support function preferred.
    • Strong attention to detail and commitment to accuracy.
    • Excellent organizational and time-management skills.
    • Ability to manage multiple requests, deadlines, and priorities simultaneously.
    • Strong written and verbal communication skills.
    • Professional and persistent follow-up skills.
    • Ability to identify discrepancies and independently work toward resolution.
    • Comfortable communicating with Sales Representatives, management, vendors, dealers, and other external business partners.
    • Ability to work independently while collaborating effectively across departments.
    • Strong computer skills and ability to learn internal systems and tracking platforms.
    • Proficiency with Microsoft Outlook, Excel, Word, and shared document-management systems preferred.
