    Outreach is seeking a qualified candidate for the position of Part Time Administrative Support Staff team member to work in our Centralized Calling/Medication Assisted Treatment (MAT) Hub located in Brentwood, Long Island.  The Centralized Calling/MAT Administrative Support Staff team member is responsible for providing outstanding customer service, ensuring that the initial contact for prospective clients, concerned family and any other callers to Outreach’s central number/MAT Hub is engaging, responsive and informative.  This role provides program support in an overall effort to ensure the efficient and effective operation of client screening/engagement, appropriate program referral, data collection and storage, and initiating the front end revenue cycle.  Critical to this will be the ability to interact with program staff from across the agency to ensure that clients are connected to the appropriate program while managing the flow of activity in the MAT Hub.  

     

    What You Will Do: 

     

    • Answers/screens incoming phone calls; initiates engagement process, conducts pre-assessment screenings, collects third party reimbursement information, schedules and confirm appointments. 
    • Facilitates collection of appropriate releases through electronic means (DocuSign) and scheduling/initiation of prescriber and intake workers’ telehealth sessions. 
    • Supervises other call center/MAT support representatives. 
    • Monitors the Prescribers’ schedules and with assistance from program management, works to ensure that individuals in need of MAT are seen within 24 hours of initial call, whenever possible. 
    • Provides information regarding services, including accessing telehealth services, to prospective clients and/or their family members in an ethical and caring manner.  
    • Obtains billing and insurance information, conducts insurance verification and inputs data into the electronic medical record (EMR).  Confirm client insurance status. 
    • Ensures collection of client fees.  
    • Collaborates with the billing department as related to denials, errors and omissions related to all revenue sources, as appropriate.
    • Maintains the agency electronic medical record by entering appropriate data accurately and escalating any technological concerns to management.   
    • Welcomes and screens onsite visitors, as necessary.         
    • Assists in the smooth movement of clients onsite to facilitate access to all appropriate services.  
    • Demonstrates initiative in task identification and completion; uses time efficiently and works with the manager to effectively handle volume of work.  Develops skills to manage multiple priorities and insure timely responses and reporting of program data and staff activity.
    • Maintains inventory of supplies and reorders on a timely basis; requests service maintenance for all office equipment.
    • Provides back-up coverage in the event of staff absences.
    • Assists in the maintenance of the physical plant; reports needed repairs in a timely manner; respond appropriately to emergencies; utilize appropriate agency resources in seeking to improve physical plant function and safety.
    • Maintains computer skills that are appropriate to level needed for optimal job performance; proficient with using e-mail, Microsoft Word, Microsoft Outlook and other programs as necessary.

      

    Who You Are: 

    • Minimum of HS Diploma required, Bachelors Degree a plus
    • Experience working in a substance use disorder or behavioral health care setting.
    • 3-5 years experience in customer service.
    • Extensive knowledge of community resources available to clients who are diagnosed with substance use disorders and mental health disorders.
    • Knowledge of Medicaid, Medicare and commercial insurance preferred.
    • Knowledge of Netsmart/AVATAR/IMA billing a plus.
    • Proficiency in Microsoft Office applications.
    • Bilingual Spanish preferred.
    • Ability to work effectively in collaboration with diverse interdisciplinary team
    • Schedule to be discussed at interview, but will include a mix of day and evening hours and one weekend day.
