    _ PURPOSE OF THE POSITION_

    The Program Coordinator will be a central part of a new and growing unit that is focused on advancing economic and racial justice in the US and internationally. The role-holder will provide administrative and professional support, primarily servicing two major areas. Firstly, they will provide specific program coordination for shaping global efforts on economic ideas and policies; secondly, they will provide team coordination to the ERJ Department. The Program coordinator will be responsible for budget and resource management, grants and contract management support, and general admin support and reporting, and assist areas including event organization, desk-research (following all Oxfam protocols) and monitoring, evaluation and learning (MEAL).

    PRIMARY RESPONSIBILITIES:

    Program and Team Coordination : Under the supervision of the Program Manager for Global Economic Change, provide holistic professional and administrative support to international program on economic ideas and policies and to the ERJ team. Includes budget and resource management; grants and contracts management; organizing and documenting meetings and assisting with follow up; managing business processes, and flexible support as required. Specifically includes supporting event planning for convenings, and program governance (of internal and external advisory stakeholders), and also support cooperation of ERJ “community” (departments across OUS working on ERJ): organizing knowledge exchange, quarterly internal meetings, a collective calendar and updates; and aiding internal reporting.

    Across both areas the role-holder will be responsible for :

    • Budget and resource management
      • Monitor restricted and unrestricted budgets and assist team members with updating financial tracking systems, preparing expense reports, and maintaining financial records;
      • Supporting team planning and budgeting, including accountability towards team plans;
      • Handle routine business and financial matters including processing: budget changes within the financial system, process contract payment invoices and travel costs;
      • Ensure adherence to OUS standards and fiscal and reporting responsibilities.
    • Grants and contracts management support
      • Process subgrants and partner agreements in Oxfam’s grants management systems, and ensure timely payments of subgrants to Oxfam teams, grantees and partners;
      • Support management of budget and fulfillment of donor-reporting requirements, engaging with the Institutional Funding and Partnerships team and others;
      • Work with other Oxfam grant managers to improve grant-making processes as well as anticipate bottlenecks and troubleshoot grant-making and disbursement processes.
    • General administrative support and reporting
      • Planning and providing administrative and logistical support for internal and external meetings, events and seminars providing technical support for online meetings;
      • Supporting regular reporting of team activities to internal Oxfam audiences;
      • Maintain, organize, and expand database of external contacts including Salesforce;
      • Support Monitoring, Evaluation, and Learning (MEAL) colleagues to plan and execute regular planning, learning and evaluation activities;
      • Assist with organization and note taking for team meetings and other support as required;
      • Develop first draft design of slide-decks and other public facing presentations and documents, in adherence to Oxfam branding guidelines.

    As a core member of the team and program, the role-holder will also provide input to the design and implementation of program activities and will be asked to provide ad-hoc support as may be required for desk-based research on program content.

  • Qualifications

    Qualifications

    • Some college or advanced studies preferred, including certifications in related field(s), or a combination of education and experience.
    • Minimum three years’ demonstrated experience in project coordination, and/or relevant administrative support functions, including database management, planning, facilitation, and program coordination.
    • Experience working with project or program budgets and strong attention to detail.
    • Good judgment, initiative, and ability to anticipate problems and follow through with confidence.
    • Excellent interpersonal and written communication skills.
    • Demonstrated ability to effectively organize, prioritize work, handle multiple demands at one time, and meet deadlines in a fast-paced environment.
    • Experience with office technology and business software, including Excel, Zoom, and Teams.

    _ PREFERRED QUALIFICATIONS_

    • Knowledge of and experience in international economic issues, development, human rights and/or social justice issues.
    • Knowledge of and ability to use tools and web technologies to facilitate communication and information sharing (list serves, blogs, web pages, social media).
    • Experience in meeting and event planning and logistics.
    • Experience working as a member of a team that has multiple sites or travels extensively.
    • Comfort operating in a multi-cultural, international environment.
    • Experience in a non-profit setting.
    • Ability to communicate in French or Spanish.
    • Experience utilizing Box and Salesforce.

    Salary Range - $55,000 - $60,000
