    The Center of Digital and Data Excellence (CoDE) at PATH works with government ministries of health, the private sector, and donors to strengthen the use of digital technologies and data for improved health services. Digital Square is one of CoDE’s flagship global initiatives. It is PATH-led and funded by multiple donors, including USAID and the Bill & Melinda Gates Foundation, to advance digitally enabled health services to help close the health equity gap. Conceived from the lessons of the inefficiencies and redundancies of prior investments in digital technologies for international development, Digital Square works with ministries of health to align adaptable, interoperable digital technologies with local health needs and brings partners together to improve how the global community designs, uses, and pays for digital health tools and approaches.

     

    PATH is currently recruiting for an Administrative Team Lead for its Digital Square team. The Administrative Team Lead will manage Senior/Program Assistants (S/PAs), providing mentoring and professional development support and provide project management support to a portfolio of projects.

     

     

    RESPONSIBILITIES:

     

    • Management of Administrative Staff (75%)
      • Manage a team of program assistants, spanning multiple projects or functional areas.
      • Responsible for hiring, on-boarding, orienting, coordinating training, development, and mentorship opportunities for senior/program assistants in the US.
      • Monitor and deploy employee resources as needed. Efficiently allocate administrative staff to support project delivery and reduce staffing levels if business conditions dictate. Ensure S/PA performance and outputs align with Digital Square standards and meet needs and productivity goals.
      • Provide guidance, leadership, and regular direction to program assistants on use of best practices and standard operating procedures in hosting internal team meetings, hosting partner and external meetings, maintaining knowledge management systems and use of best practices to ensure consistent support across the organization.
      • Oversee all planning, logistics, coordination for team and partner meetings. Train, empower and prioritize senior/program assistants work in internal and external administrative support to schedule meetings and teleconferences, compile and organize agenda and relevant background materials, and disseminate notes and outcomes of meetings to the appropriate parties.
      • Partner with relevant knowledge management personnel to assist in development and maintenance of information systems. Oversee and maintain all administrative processes for program assistant function. In collaboration with Digital Square Leadership, refine guidelines and curriculum to train S/PAs to successfully perform their duties and maintain best practices.
      • Develop cohesive working relationships with matrixed managers to understand project objectives and support S/PAs to meet expectations.
      • Collaborate with project leads and Project Administrators to understand and delegate “stretch assignments” to S/PAs.
      • Inform Deputy Director of Operations of any implementation or staffing challenges, and work to identify solutions.
      • Recognize where the S/PA team and individuals need improvement and provide additional training and coaching.
      • Provide day-to-day support to team leaders as needed.
    • Project Monitoring and Reporting (25%)
      • Support project planning, work plan development and monitoring, and reporting to ensure effective communications between donors, country teams, program partners.
      • Support development or enhancement of tools/mechanisms for monitoring project progress.
      • Collect and track submission of deliverables for reports to funders.
      • Maintain project inventory.
      • Cursory review of subaward and consultant invoices and financial reports for accuracy.
      • Provide support to project teams on small procurements, as required.
      • Assist project administrators with subaward/consultant budget forecasting and tracking, providing analysis on budget status.
      • Compile and facilitate submission of contract packages.
      • Performs other duties as assigned.

    Required Skills Required Experience

     

    • Bachelor’s degree in public health, international studies, public administration, non-profit management or related field.
    • Minimum 3-5 years’ experience in project administration in a similar complex international NGO setting.
    • Demonstrated people management skills of teams of 5 or more, especially experience in mentoring and growing junior staff early in their careers.
    • Demonstrated ability to monitor important and complex projects, manage inventory and budgets, and work with staff in a variety of functional and technical areas.
    • Strong organizational skills; high level of attention to detail; effectiveness under deadlines; and ability to work independently. Curious nature to learn, grow others, while always thinking of ways to address and improve systems and processes.
    • Knowledge of and experience working in global health with specific emphasis on digital health.
    • Understanding of basic scientific and research concepts.
    • Team-focused and collegial with the ability to interact with diverse colleagues and facilitate strong working relationships; adept at working closely with others over geographical distance.
    • Excellent written and oral communication skills in English; diplomacy in communicating with a broad and diverse audience.
    • Proficient in Microsoft Excel, Smartsheet and ability to learn financial systems/software such as BusinessWorld and Salesforce.

     

    PREFERRED SKILLS AND EXPERIENCE:

    • PMDPro or equivalent certification.

    REMOTE WORK:

    PATH continues to evolve to support our employees during the COVID-19 pandemic. Currently, most of PATH’s US based positions are temporarily 100% remote, within commuting distance to our PATH offices. When PATH transitions more broadly to in-person work, we will operate with a hybrid workplace model. Hybrid employees must reside within commuting distance to one of our PATH offices. PATH’s US offices are located in Seattle, WA and Washington, D.C.

     

    COVID-19 VACCINE REQUIREMENT:

    PATH has instituted a COVID-19 vaccine mandate for all employees, interns, consultants, and temporary staff based in the United States. Individuals selected for job opportunities in the United States must be fully vaccinated, and show proof of vaccination status, upon hire. Individuals are considered fully vaccinated 2 weeks after their second dose in a 2-dose series, such as Pfizer or Moderna, or 2 weeks after a single-dose vaccine, such as Johnson & Johnson.
