    PATH has a tremendous track record and technical leadership in vaccine development and introduction and has now created and branded a whole platform approach with significant core funding to be even more agile, responsive, effective, and sustainable in the Center for Vaccine Innovation and Access (CVIA). PATH’s work on vaccine development and introduction encompasses activities including discovery, preclinical development, clinical research and development, process development and manufacturing, regulatory and vaccine introduction. Our portfolio currently encompasses over 25 candidates and vaccines in the following disease areas—Malaria, Enteric and Diarrheal Diseases, Polio, Respiratory Tract Infections and Meningitis, HPV and Vector-borne viral diseases (e.g., Japanese Encephalitis)—and in the cross-cutting area of Maternal Immunization.

     

    Under the direction of CVIA’s Director of Finance, Malaria and IPFM, the PADM will support project administration activities related to CVIA’s vaccine projects as well as supporting CVIA’s financial processes and proposal development.

     

    PROVIDE PADM SUPPORT TO CVIA PROJECTS (60%)

     

    FINANCIAL AND CONTRACTS MANAGEMENT

    • Coordinate financial/contractual aspects of activities occurring under the assigned projects including (but not limited to) monitoring project expenses against donor and annual budgets, making contractual payments, maintaining database, monitoring deliverables, reviewing financial reports, reviewing general ledger transactions for appropriateness and accuracy, and correcting budget and coding problems in a timely manner.
    • Use PATH’s best practices and systems to track and monitor the timely receipt of all deliverables, adherence with terms of agreements, and payments to subrecipients.
    • Update and maintain accurate SalesForce data for assigned projects.
    • Coordinate the close-out of projects including reviewing final financial reports, reconciling final cash position, ensuring that all deliverables are received, approved and on file in MVI records as well as HQ records, and working with OGC and/or Legal to close-out the record in SalesForce.
    • Prepare reports (monthly/quarterly) for project team leader(s) that compare actual expenditures against budgeted costs.
    • Update project team leaders on financial status of projects.
    • Prepare financial forecasts, including sub payments for annual budgets and updating cash pipeline.
    • Support the ppRTS,S PADM in reviewing/correcting coding problems in Business World (BW).

     

    ADMINISTRATION

    • Provide support and oversight to Program Assistant relating to meeting planning, including the review/approval of hotel & catering contracts, and other financial transactions.
    • Manage the procurement of project-specific supplies, as needed.
    • Prepare and administer consulting agreements.

     

    COMPLIANCE AND HEADQUARTERS RELATIONS

    • Develop in-depth understanding of PATH policies and procedures and donor rules and regulations. 
    • Act as liaison between project team and Shared Services units (procurement, legal, HR, accounting, etc.).

     

    SUPPORT WAVE 2 FINANCIAL PROCESSES (30%)

    • Update the Strategy, Ops & Governance (SOG) budget analysis on a monthly basis with actual costs and burn rates.
    • Update the travel tracker as travel is approved (or monthly, at a minimum).
    • Monitor general ledger for actual costs and submit reclasses as appropriate.
    • Assist with maintenance and monitoring of the labor pool including budget entry, labor prior to post checks and follow up with staff for adjustments.
    • Maintenance and update of master lists (BW project/activity list, Grant Master).

     

    OTHER RESPONSIBILITIES (10%)

    • Support CVIA proposal development efforts, as assigned.
    • Provide PADM support to other CVIA PADMs during surge periods, as assigned.
    • Participate in PATH’s Project Administrators’ Working Group.
    • Other duties as assigned.

    Required Skills Required Experience

     

    • Bachelor's degree plus a minimum of two years' experience in administrative management function, preferably with contracts experience in a non-profit organization.
    • Experience designing and implementing project coordination systems.
    • Demonstrated financial management and budgeting skills.
    • Excellent organizational skills and ability to work independently with minimal supervision.
    • Demonstrated experience in building effective partnerships with internal and external collaborators.
    • Demonstrated ability to work well in cross-functional, matrixed environment with program and technical staff.
    • Excellent interpersonal and communication skills.
    • Well-organized and detail-oriented with consistent follow-through.
    • Proficiency in Microsoft Office software (particularly PowerPoint, Access & Excel).
    • Must have legal authorization to work in the United States.
